Overview

Administrative Assistant position with the Colorado State Public Defender's Office (OSPD) in Fort Collins. This is a full-time, entry-level clerical role performing routine tasks of a legal nature under the guidance of an Office Manager or Supervisor. The work is fast-paced with high telephone and client interactions, requiring multitasking, accuracy, and attention to detail.

Primary Duties And Responsibilities

  • Performs general reception duties including answering phones with multiple lines, screening calls, taking messages, and directing callers to the appropriate person or office.
  • Greets onsite visitors and provides general information (e.g., attorney names and court dates); maintains the reception area.
  • Checks main voicemail and email inbox during scheduled hours; responds to or forwards messages as needed.
  • Assists applicants for public defender representation by explaining the process and ensuring completed submissions; reviews and verifies applications for completeness and processes them per policy.
  • Opens, enters, updates, and may close client files in the online case management system; moves hardcopy files to the closed file room per policy.
  • Uses court or local jurisdiction websites to search client case information.
  • Processes mail and performs routine clerical tasks (copying, printing, sorting, distributing forms and documents).
  • Makes weekly courthouse runs to collect discovery files when e-filing is not available.
  • Uploads large volumes of electronic documents to the online case management database and scans hardcopy documents as needed.
  • Attends meetings and trainings as required; performs other administrative duties as assigned.

Minimum Qualifications

  • High school diploma or equivalent required; no prior experience required.
  • Proficiency in English (grammar and punctuation) and basic math (addition, subtraction, multiplication, division).
  • Knowledge of standard software applications (Microsoft Word, Excel, internet browsers, and e-mail).

Preferred Qualifications

  • Customer service experience in a fast-paced environment.
  • Basic clerical and administrative skills (data entry, file management, answering phones).
  • Knowledge of court systems and legal terminology; experience serving indigent populations; Spanish-speaking skills.
