Overview

Administrative Assistant role at Kensington Elementary School (KES). Under the direct supervision of the principal or other administrator, provides clerical, secretarial and administrative assistance, conveying information regarding school functions and procedures, and supporting services to students, parents, and KES employees. The position is 260 days per year, 40 hours per week during the school year; summer hours are determined with the school principal.

Responsibilities

  • Prepare, copy and distribute notices, memoranda or other correspondence to inform school employees about activities, events or work-related matters.
  • Plan and schedule school events and activities; maintain calendar of school and student events (e.g., orientation, open house, field trips, sporting events, assemblies, conferences).
  • Maintain documents, files and records to ensure accurate student and financial records.
  • Prepare purchase orders for submission to the school district's accounting/finance office.
  • Prepare and process time sheets weekly for submission to the SAU payroll office, including reviews for accuracy and obtaining necessary approvals.
  • Maintain inventories of supplies and materials to ensure availability.
  • Assist visitors to the office, including students, parents, substitute teachers, guests and other community members.
  • Answer telephone calls and provide information and assistance to callers.
  • Distribute incoming mail and handle outgoing mail as appropriate.
  • Evaluate situations and direct to appropriate personnel for resolution.
  • Register new students, ensure forms are completed, obtain transcripts and other documentation, and enter data into the computer system (enrollment, transportation, free and reduced lunch, attendance, withdrawals).
  • Respond to inquiries from students, parents and employees, facilitating communication and providing direction as needed.

Typical Qualifications

  • Successful experience with customer service and/or office management is preferred.
