Job Summary
The person in this position is responsible for the office’s daily activities and projects, including making appointments for patients following medical practice procedures. All forms of communication with the office will be handled promptly, with courtesy and professionalism. Visitors will be greeted and assisted in the same manner. The role ensures patient information is accurately updated in the hospital’s electronic medical record (EMR), verifies insurance at registrations, and collects and posts copays and payments. The position provides information about clinic policies, procedures, services, and other information as required. Other duties include providing clerical support needed to complete coding and billing of procedures by providers.
Essential Duties / Responsibilities
- Monitors the current status of work for the supervisor.
- Schedules patient appointments by phone or in person after an office visit.
- Answers telephone calls promptly and professionally; routes calls as needed.
- Collects copays as required.
- Obtains, verifies, and updates patient information and provides support to patients and medical staff.
- Uses manual and computerized systems to match physician availability with patient preferences for date and time.
- Maintains scheduling system to ensure records are accurate and complete; provides daily schedules to physicians/clinicians or medical assistants before each day’s visits.
- Promotes and participates in the implementation, maintenance, and evaluation of EMR.
- Secures required documentation (insurance information, consents, releases) and files; requests additional information as needed.
- Documents are attached to patient charts (scanned, filed, distributed as necessary).
- Updates (e.g., cancellations or additions) are input daily into the master schedule.
- Communicates with providers/clinicians and staff about patient scheduling concerns/issues.
- Composes correspondence and disseminates to appropriate individuals.
- Uses customer service principles to assist patients calmly and pleasantly.
- Prepares documents and handles confidential matters per clinic rules and procedures.
- Greets visitors and guides them to waiting areas; screens solicitors for relevance to organizational needs.
- Requests, locates, sends, and receives patient medical records.
- Maintains files and assists in establishing office systems.
- Maintains office cleanliness with assigned daily tasks.
- Other duties as assigned.
Minimum Requirements
Education / Experience / Licenses and Certifications
- High school diploma or GED, required.
- Medical terminology preferred but not required.
- BLS required within 6 months of start date.
Additional Skills
- Ability to effectively communicate in English, both reading and writing.
- Multi-line telephone knowledge.
- Computer knowledge.
- Ability to operate designated equipment, including keyboarding.
- Basic clerical training, including basic filing procedures (numeric and alphabetical).
- Ability to work under pressure with time constraints.
- Basic knowledge of medical record content and sequence.
- Ability to function independently with minimal direction.
Specific work environment and safety notes: Possible exposure to blood and/or body fluids, infectious disease, or hazardous waste requiring the use of Personal Protective Equipment. Exposure to odorous chemicals and latex products. Pre-employment drug and alcohol screening is required.
