Overview

Administrative Assistant, Sr – Provide senior level administrative support. Partners with Executive Administrative Assistant to coordinate administrative details to staff. Performs a variety of administrative support to assist staff with complex details and advanced administrative duties. Executes special or continuous research-type work and data analysis tasks. Analyzes problems, determines approach, compiles and analyzes data and makes recommendations. Coordinates high level activities between divisions/departments and external business contracts.

Location: Charlotte, NC; Palo Alto, CA. Seniority level: Mid-Senior level. Employment type: Full-time.

Responsibilities

  • Provide administrative support including word processing, slides and presentations and developing and producing reports.
  • Assist in writing, editing and authenticating technical and promotional materials including application papers, product descriptions, data sheets, specification books, conference presentations and brochures; partner with publishing or print services on final product.
  • Develop and maintain the database of important contacts/contracts.
  • Track and follow up on various action items to ensure schedules and due dates are met.
  • Coordinate calendars to manage priorities and avoid conflicts.
  • Schedule and coordinate Level 3 meetings.
  • Make travel arrangements.
  • Order office supplies.
  • Develop and maintain file systems.
  • Ability to track financial (and budget) information.
  • Assist in the creation/implementation of processes to support the organization.
  • Other responsibilities as assigned.

Qualifications

  • Minimum of 5 years as a secretary/administrative assistant.
  • High School Diploma required.

Skills and Attributes

  • Excellent computer skills, including knowledge of Microsoft Office, WIN 95 or MAC Excel, PowerPoint and other specialized computer programs used by EPRI.
  • A working proficiency with Cvent, SAP and other specialized business applications is a plus.
  • Internet-savvy to navigate Internet in searching for timely and relevant information as necessary.
  • Excellent organizational skills and attention to detail.
  • Excellent oral and written communication skills.
  • Ability to work under pressure and meet short deadlines while supporting multiple staff.
  • Ability to prioritize work and manage multiple responsibilities.
  • Open flexible approach to work with environment and job responsibilities.
  • Strong cooperative teaming attitude.
  • Must be able to work effectively with all levels of internal and external customers.

Compensation and Benefits

The salary range for this position is $55,000 USD to $65,000 USD annually. This salary range is an estimate and the actual salary may vary based on factors including education, experience, skills, abilities, internal equity and market data. The salary may also be adjusted based on geographic location. This role is eligible to participate in EPRI’s annual incentive program. The amount of incentive varies and is subject to the terms and conditions of the plan. This role is eligible to participate in EPRI’s standard employee benefit programs, which currently include medical, dental, vision, 401k, STD/LTD and paid family leave, life and accident insurance, paid time off (flexible vacation, sick leave, and holiday pay).
