Base pay range
$15.00/hr - $15.00/hr
Summary
The incumbent will provide exceptional customer service by answering inquiries and obtaining information from the general public, residents, visitors and other interested parties.
Responsibilities
- Fills in the gaps in case of call offs/no shows.
- Submit the completed monthly reception schedule for the following month by the third Friday of every month.
- Keeps the front desk and the front office clean and organized; manage clutter and ensure office supplies are in designated areas. Call housekeeping/maintenance as needed.
- Order office supplies weekly to maintain proper par levels.
- Ensure a backup toner for the main printer is available and call for service if the printer is not working.
- Fill the main printer with paper at arrival and after lunch.
- Ensure adequate computer paper is available to avoid running out.
- Maintain shred boxes and empty when full.
- Answer the phone immediately and operate the telephone switchboard to answer, screen, forward calls, provide information and take messages.
- Perform general administrative tasks such as word processing and data entry; assist department heads by making calls upon request.
- Greet visitors and direct or escort them to their destination; assist residents, family members, employees and other visitors as needed.
- Maintain security by following procedures and controlling access (e.g., monitor logbook and verify patient in building).
- Maintain the general filing system and route mail, deliveries, and packages to the appropriate department promptly.
- Notify the Administrator of any issues or concerns with residents.
- Other duties as assigned.
Qualifications
- Must possess, as a minimum, a high-school diploma or its equivalent.
- Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Ability to multi-task, prioritize and work under pressure.
- Professional appearance and demeanor.
- Ability to be resourceful, tactful, and proactive in dealing with issues that may arise.
Physical Demands
- Must be able to move intermittently throughout the workday.
- Must be able to speak and write the English language in an understandable manner.
- Must be able to cope with mental and emotional stress of the position.
- Must function independently, have flexibility, personal integrity, and the ability to work effectively with residents, personnel, and support agencies.
- Must be able to push, pull, move, and/or lift a minimum of 25 pounds to a minimum height of 5 feet and be able to push, pull, move, and/or carry such weight a minimum of 50 feet.
- May be necessary to assist in the evacuation of residents during emergency situations.
