Overview

Executive Assistant to support three senior leaders: Chief Strategy and Business Officer, Chief Financial Officer, and SVP of Technical Operations & Supply Chain. This role is ideal for someone who thrives in a fast-paced environment, manages multiple priorities, and ensures smooth operations and effective communication across the organization.

You will join a growing biotech company where adaptability, discretion, and a positive attitude are essential. Responsibilities include coordinating day-to-day operations, managing calendars and travel, and supporting a collaborative and efficient workplace.

Responsibilities

  • Provide high-level administrative assistance to three senior executives, including calendar management, travel coordination, and expense reporting.
  • Serve as a liaison across departments and with external partners, ensuring timely and accurate communication.
  • Support cross-functional initiatives by organizing documents, tracking contracts and invoices, and assisting with presentation development.
  • Help maintain a strong team culture by fostering connection, collaboration, and alignment with company values.
  • Prepare meeting agendas, take notes, and follow up on action items to keep teams on track.
  • Plan and execute team off-sites, leadership meetings, and company-wide events with creativity and attention to detail.

Qualifications

  • 6+ years of experience as an Executive Assistant or administrative professional, ideally supporting senior leadership in a fast-moving environment.
  • Experience in biotech, pharma, or a startup setting is a plus.
  • Proven ability to manage multiple priorities with grace, accuracy, and confidentiality.
  • Strong proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint) and a willingness to learn new tools and systems.
  • Exceptional communication and relationship-building skills used to build trust, foster collaboration, and drive results.
  • A high level of integrity, professionalism, and discretion when handling sensitive information.
  • A positive, can-do attitude and a genuine interest in helping others succeed.
  • Bachelor’s degree strongly preferred
  • This position is onsite 4+ days a week, Monday through Friday.

Compensation and Benefits

The expected annual salary range for employees located in the San Francisco Bay Area is $137,000 - $167,000. This position is eligible for an annual performance bonus. Maze performs position-based compensation benchmarking to market data. Starting salary will depend on experience, skills, and location and may be modified in the future. Maze offers a robust benefits package including medical, dental, and vision insurance, mental health offerings, an equity incentive plan, a 401(k) with employer match, and a generous holiday and PTO policy.
