Overview
Executive Assistant to the President of PMMC. Provides high-level administrative support to the President and senior executives, coordinating schedules, meetings, communications, and follow-ups to maintain efficiency and drive organizational initiatives.
Responsibilities
- Manage and maintain the President’s calendar, as well as senior executives’, including scheduling, coordinating, and confirming appointments, meetings, and events.
- Attend meetings with or on behalf of the President; record accurate notes, minutes, and action items.
- Track and follow up on action items from meetings to ensure timely progress and completion.
- Take and prepare official minutes for board meetings and other key organizational meetings.
- Prepare and distribute weekly reports for the President, including progress updates and follow-up tasks.
- Assist in drafting correspondence, presentations, and other materials as needed.
- Act as a liaison between the President and internal/external stakeholders, ensuring clear and timely communication.
- Handle sensitive and confidential information with discretion and professionalism.
- Book and coordinate travel arrangements, including flights, accommodations, transportation, and itineraries.
- Provide general administrative support, including document management and travel coordination.
Qualifications & Requirements
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Proven experience (3–5 years) supporting senior-level executives or in a similar role.
- Exceptional organizational, time management, and prioritization skills.
- Strong written and verbal communication skills, with excellent attention to detail.
- Ability to manage sensitive and confidential information with the highest level of integrity.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project/task management tools.
- Professional demeanor with the ability to interact effectively across all levels of the organization.
