Overview
We are seeking an Executive/Legal Assistant to provide high-level administrative support to the CEO and General Counsel. This role combines traditional executive-assistant functions (calendar, meetings, travel, board materials) with legal administrative tasks (document management, matter intake, and compliance logistics). The position requires discretion, judgment, and excellent organizational skills to support two senior executives in a fast-paced environment.
Key Responsibilities
- Manage the CEO’s and General Counsel’s calendars, coordinate meetings, and handle complex travel arrangements.
- Prepare, proof, and format board materials, legal correspondence, agreements, and presentations; maintain version control and filing.
- Handle signatures and workflow (DocuSign), track approvals, and maintain organized matter files (digital).
- Intake new legal matters; create and maintain matter lists, deadlines, and follow-ups; capture action items and meeting minutes.
- Triage emails for scheduling and priorities; prepare brief summaries and background for meetings.
- Protect confidentiality and handle sensitive personnel, claims, and board information with discretion.
Qualifications
- 3+ years’ experience as an executive assistant and/or legal assistant.
- Strong Microsoft 365 skills (Outlook/Teams/Word/Excel/PowerPoint) and DocuSign; comfort with SharePoint/OneDrive.
- Excellent writing, proofreading, and organizational skills; able to manage competing deadlines.
- Nice to have: experience in insurance or professional services; familiarity with claims/legal matter systems.
Compensation
- Salary Range: $70,000 – $90,000 base, DOE, plus benefits and bonus eligibility.
