Title: Athletic Director Department Secretary
Reports To: Athletic Director and Building Principal
Job Goal: To operate the office in a friendly, systematic, orderly, business-like manner. The Athletic Director's secretary works under general supervision and assists in all functions deemed necessary. Hours are subject to change.
Responsibilities
- Greets visitors including students in a polite manner.
- Answers all incoming calls that come in to the Athletic Department and routes to the appropriate person. Takes detailed messages and gets information to the correct coaches in a timely manner.
- Maintains copies of correspondence and all other materials pertaining to the office.
- Assist coaches using the fax machine and copier as needed or completing this task for them.
- Processes students' athletic physicals for grades 7-12, i.e., copying for each team. Verifying that all information is filled out and accurate. Maintain database and distribute to coaches so we are in compliance with MSHSAA. Scan each physical form into the computer to maintain a record that is available to email or print when requested.
- Complete all computer work on the MSHSAA website: i.e. registration, update coaches information, schedules, assign students to eligibility rosters, and completion of transfer forms.
- Enter and maintain data in Mansker Athetic Software (Schedules for all Sports), which may include faxing schedules, making corrections, and updates. Keeping schedules current with in school calendar online, school website, and local newspaper.
- Responsible for all athletic department mail and complete online contracts for all games and officials.
- Completes all purchase orders, which includes 49 different accounts in a timely manner to insure bills are paid on time.
- Count and verify with coaches about deposits, making appropriate copies and files. Then daily deposits into districts bank account.
- Reconcile two credit cards for the department each month.
- Bill and organization of football, softball, and baseball, stadium seating and season tickets.
- Bill advertisers for stadium/track scoreboard to the appropriate businesses and deposit payments.
- Coordinate and reconcile ticket sales for the Poplar Bluff Mules Showdown Tournament. Assist athletic director with all aspects of the tournament.
- Prints letterman and participation awards for all sports. Maintains a updated list of lettermen for all sports. Hands out lettermen cards and awards as requested by students and coaches.
- Maintains up-to-date letterman's list for gate keepers.
- Purchases all supplies for the athletic office.
- Organizes hotel reservations for out-of-town guests.
- Work closely with transportation department on travel arrangements for each sport for all away games. This includes 18 high school and 11 junior high school teams, or more.
- Update and make changes as needed to the athletic handbook. This includes working with the copy center to handout additional copies for each sporting activity.
- File all paperwork in designated file cabinet and file digital files on the school district computer server.
- Any other duties assigned by the Athletic Director and the Administration.
Essential Functions
- Computer keyboarding skills required.
- Must be able to bend, lift, and carry up to 30 lbs.
- Must be able to communicate clearly with teachers, students, administrators, and other staff members.
- Must be able to read, understand, and follow written and verbal directions/instructions.
- Fulfill any other duties assigned by the administrator.
- Follow board policies.
