Overview

Senior Medical Secretary - Manhattan. NYU Grossman School of Medicine is seeking an individual to perform administrative and surgical coordination tasks to support daily practice operations, schedule patient visits and procedures, handle patient communications, and maintain efficient provider schedules.

Job Responsibilities

  • Schedules appointments for visits, treatments, and surgical procedures.
  • Reviews appointment confirmations and manages waitlists.
  • Communicates upcoming visits, instructions, preparation, and forms to patients.
  • Obtains authorizations for services as needed.
  • Answers calls, takes messages, and routes inquiries to appropriate contacts in a timely manner.
  • Handles faxes and mail; prepares standard letters and forms as needed.
  • Performs other duties as needed.
  • Administrative Physician and Practice Support: Schedule surgeries in EPIC; prepare the daily schedule and manage the OR template; create and send calendar invites; discuss surgical appointment details (arrival time, fasting instructions, etc.); scan documents; ensure EPIC contains required elements (labs, medical clearance, EKG, etc.).
  • Patient Access and Coordination: greet patients, collect information, answer questions, route requests; maintain professional relationships with physicians, nurses, and office staff; prioritize assignments; communicate effectively with patients and staff; participate in staff training.
  • Documentation and Communications: review in-basket messages and patient emails; provide non-clinical appointment instructions; promote MyChart use; follow scanning guidelines; manage waitlists and reschedule as needed; release medical records per HIPAA and ROI procedures; process documents via paper and electronic records; obtain signatures as required; coordinate with RN/LPN/Providers as needed.
  • Patient Experience and Access: support NYU Langone Health Brand Ambassador standards; ensure positive patient interactions; collaborate with Access Center and Central Billing Office; uphold CARES service principles; anticipate patient needs and participate in service recovery as appropriate.

Minimum Qualifications: High school diploma; three years of relevant medical clerical experience including prior physician practice experience; knowledge of medical terminology; light, accurate keyboarding skills; excellent organizational, interpersonal, and communications skills.

Preferred Qualifications: Computer literacy preferred.

Qualified candidates must be able to effectively communicate with all levels of the organization.
