Overview

School Secretary (2025-2026) – Ella Baker PK-8, Minneapolis Public Schools (MPS).

Responsibilities

  • Provide clerical and standard secretarial support for the School Principal; perform administrative support duties for the school site within scope of authority and MPS policies and quality standards.
  • Exercise initiative in performing work assignments; apply judgment and knowledge of school operations to resolve problems; refer matters requiring policy interpretation to supervisor.
  • Provide customer service, information and assistance to MPS staff, students, parents, visitors and others; coordinate communication at the school site; explain MPS rules, policies and procedures; work independently and make appropriate decisions based on experience.
  • Perform bookkeeping and accounting functions; collect special fees and payments.
  • Collect data and report information; maintain accounts for budget, grants, purchasing, payroll, timekeeping, transportation, enrollment, attendance, registration and records requests.
  • Monitor school security system, manage door locks and keys.
  • Maintain computer databases and files; enter data; locate information for clients and staff; review and update statistical information and reports; develop and create technical and operational reports.
  • Access MPS files and locate information for authorized personnel and stakeholders.
  • Coordinate special projects and research functions; prepare and distribute school calendars, information packets and communications.
  • Maintain attendance records for staff, assist with timekeeping and payroll reporting, and arrange substitutes as needed.
  • Coordinate, prioritize, cross-train and review work of clerical and support staff as assigned.
  • Order, receive and distribute supplies and equipment.
  • Demonstrate courteous and cooperative behavior when interacting with students, clients, visitors and MPS staff; promote a harmonious and effective workplace environment.
  • Support the Superintendent’s goals and priorities in compliance with policies and procedures.
  • Maintain strict confidentiality of work-related issues, records and MPS information.
  • Other duties or tasks may be assigned as needed.

Qualifications

MINIMUM QUALIFICATIONS

Education, Training and Experience Guidelines

  • High School Diploma or GED equivalent; AND three (3) years of office administration experience in a public school district; OR an equivalent combination of education, training and experience as determined by Human Resources.

Knowledge Of

  • Applicable policies, procedures and regulations covering specific areas of assignment.
  • Specialized MPS and state agency software applications and network operating environments.
  • Customer service principles, protocols and methods.
  • Local community resources and community services programs.
  • Principles of record keeping and records management.
  • Professional standards for business correspondence, writing, spelling and grammar.
  • Office practices and procedures.
  • Business and personal computers, including spreadsheet, word processing and database software applications.

Skill in

  • Operating business computers with standard and specialized software applications.
  • Researching computer databases and compiling information for reports and special projects.
  • Meeting critical deadlines and entering information accurately.
  • Providing effective customer service and working tactfully with the public.
  • Following verbal and written instructions; establishing and maintaining effective working relationships.
  • Communicating effectively verbally and in writing.

License and Certification

A valid Minnesota State Driver’s License may be required.

Physical Demands and Working Environment

Work is performed in a standard office environment; may involve lifting files or materials with assistance; long periods of computer work and phone usage; walking or standing as needed.
