Overview

Office Administrator (OA) role at Jackson Lewis P.C.. Work directly with the Office Managing Principal (OMP) to provide oversight of daily operations and administration within the office(s). Collaborate with Senior Managers of Office Administration, Director of Office Administration, Senior Director of Operations, and department leaders to drive firm initiatives. This role supports the following offices: Baltimore, DC Region, Charlotte, and Raleigh. The role will be based out of the DC Region or Baltimore office.

Reports to: Sr. Manager of Office Administration

Responsibilities

  • Office Operations and Management: Manage day-to-day office operations to enable the Office Managing Principal (OMP) to focus on practice and business development; assist with strategic and tactical initiatives.
  • Collaborate with the OMP to oversee day-to-day office management and ensure adherence to firm policies and procedures.
  • Review office expense reports and office general ledgers monthly to monitor expenses and adherence to the approved budget.
  • Directly manage legal secretaries, paralegals, office services and other support staff; mentor and develop skills required of these roles.
  • Monitor paralegal billables hours and partner with the Senior Manager of Legal Operations as needed.
  • Coordinate the annual evaluation and compensation process for staff, conduct midyear and interim evaluations for new staff, and assist with attorney evaluations as needed.
  • Administration responsibilities including: recruitment, onboarding/orientation, training, off-boarding, workload assessment, attendance monitoring, timecard approvals, and coordinating leaves with HR.
  • Oversee mail and supply operations for efficiency; identify staff training opportunities and coordinate logistics with internal leaders.
  • Act as a liaison to IT, Facilities, HR, Marketing and other Business Services departments; prepare capital and operating budgets with relevant finance staff.
  • Support firmwide initiatives; provide insight to project teams on strategic implementations; partner with HR on employee relations as needed.
  • Stay current with firm technology enhancements and act as the primary office escalation point; partner with Facilities on renovations, relocations, and maintenance.
  • Support local Marketing events and collaborate with Marketing/Business Development Manager.

Qualifications / Skills

  • Minimum 8-10 years of law firm administration and/or relevant management experience.
  • Strong management skills with prior direct supervisory responsibility.
  • Excellent oral and written communications skills; ability to communicate at all levels of the organization.
  • Strong relationship management skills and professional interpersonal abilities.
  • Ability to travel to offices when required; manage staff across multiple locations.
  • Ability to work in a fast-paced environment and adapt to changes; innovative and detail-oriented with strong multi-tasking.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); basic knowledge of finances and accounting.
  • Prior experience in a law firm is desired; NetDocs document management experience is a plus.

Educational Requirements

  • Undergraduate degree required; advanced degree preferred.

For Maryland, the expected salary range for this position is between $150,000 and $170,000. This position is also eligible for annual bonuses. Actual compensation will be determined based on experience and other factors permitted by law.
