JOB SUMMARY
The Clinic Supervisor supports a Clinic(s) Manager. Responsibilities include oversight of daily operations, employee schedules, timecards, customer service and patient satisfaction under the direction of the manager. The Clinic Supervisor will have a basic understanding of physician practices, including personnel management, clinic operations, financial metrics and patient copays in addition to being responsible for aspects of billing and office accounting. This position will assist with interviews, training, evaluations and mentoring of staff. The supervisor will maintain excellent interpersonal relations with all providers, clinical and hospital staff.
PRINCIPLE FUNCTIONS include the following, other duties may be assigned:
Supervises staff and fosters a culture of high performance, teamwork and engagement. Holds staff accountable to meet required department metrics utilizing random and routine audits. Recognizes staff for good work on a frequent basis.
Develops training materials, provides orientation for new employees, presents annual refresh education. Assesses skills competencies and addresses individual skills development.
Effective problem solving and issue resolution with staff, providers and patients. Utilizes judgment, decision making, customer service to serve employees, patients and providers congruent with hospital policies, union contracts and WhidbeyHealth clinical service practices.
Prepares monthly employee work schedules in accordance with union contracts for non-provider staff, approves timecards in Kronos.
Prepares employee evaluations and performance management documents in concert with union contracts and hospital policies.
Prepares monthly reports related to patient volumes.
The Supervisor Clinic Operations for Palliative Care is also responsible for the following:
Participates in the interview process for new Service & Support staff members and provides feedback to the Department Manager/Director.
Helps to create policies, protocols and standard work processes.
Delivers information about changes in procedures or processes to other staff within the Department as directed by the Department Manager/Director.
Ensures appropriate staffing and all shifts are covered in conjunction with the Department Manager/Director.
Coordinates computer issues or concerns and reports problems to the IT Department.
Acts as a liaison with other departments to identify and support problem-solving.
JOB KNOWLEDGE & QUALIFICATIONS
Education
Completion of an accredited degree program or degree in healthcare or business required. Associate's Degree or higher preferred.
Training and Experience
At least three (3) to five (5) years of increasing responsibility and leadership in a clinic or provider office environment required, including oversight of staff.
Advanced Knowledge of computer programs related to patient care.
Ability to read, analyze and interpret financial, and general business reports.
Ability to manage time and workload effectively which includes planning, organizing, and prioritizing with attention to details with little supervision.
Ability to use sound judgment including maintaining confidentiality.
Ability to communicate effectively, verbally and in writing with staff, patients, Providers and leadership.
Ability to establish and maintain positive relationships with staff and Providers. Ability to train, educate and mentor staff. Certificates, Licenses, Registrations
MA-C , LPN, or RN preferred.
