We are currently seeking a talented
Executive Assistant
to provide exceptional support to our Investment Banking Technology team in Burlingame, CA. Responsibilities
Manage a diverse range of administrative tasks for multiple partners and senior bankers, including effectively organizing busy calendars and using Zoom and Microsoft Teams. Coordinate domestic and international travel arrangements, ensuring itineraries and agendas are well-planned. Utilize the Microsoft Suite and various software for document preparation, including pitchbooks, correspondence, engagement letters, memorandums, invoices, and reports. Prepare comprehensive expense reports per company policy using Concur, while also reconciling corporate Visa accounts. Contribute to the CRM database by updating contacts, entering call notes, and assisting with deal tracking while maintaining accurate pipelines and forecasts. Utilize discretion in prioritizing tasks and managing time-sensitive issues, ensuring timely follow-up on critical matters. Handle confidential and sensitive information with the utmost discretion. Coordinate both internal and external meetings, events and dinners, negotiating contracts with venues and restaurants. Demonstrate professionalism and diplomacy in managing competing priorities and expectations from bankers. Screen and manage multiple phone lines, presenting a positive image to clients and colleagues alike. Assist in the onboarding process of new banking team members.
