Compliance & Leasing Specialist

at our Milpitas site. Overview

The Compliance & Leasing Specialist is responsible for projects in strict compliance with local, state, and federal rules and regulations set forth by the agency and its affiliates, HUD, Tax Credit, investors, partnership agreements, and other regulatory bodies. The role includes general compliance duties (internal file audits, submitting funder reports, enforcing policies) and serves as compliance support to property staff. The position also has primary responsibility for lease-up activities for new property openings and property takeovers. About The People and Culture

Compliance Completes internal file audits (electronic and hard copy) and ensures compliance with regulatory, partnership, resident selection, marketing, and program requirements. Issues property memos with audit results; identifies and resolves compliance issues with site teams; maintains communications and tracking logs to address deficiencies and obtain necessary resident files for audits. Monitors changes to regulatory and reporting requirements from funders and governmental agencies for the portfolio. Provides information to the Property Management and Asset Management teams to ensure timely completion of compliance reports to regulators, investors, and partners. Prepares regular property compliance reports for senior leadership based on KPIs. Coordinates with other Compliance Specialists for review and approval of applicant files and setup to ensure compliance with affordable programs for initial move-ins. Other duties as assigned. Leasing Reviews regulatory documents to develop the Compliance Matrix. Prepares draft regulatory documentation (Resident Selection Criteria, AFHMP, Marketing Plan, Lease-up Timeline, Lease-up Tracker). Monitors and updates the lease-up tracker; ensures accuracy. Participates in lease-up meetings with internal teams and external partners. Acts as liaison with external partnerships during lease-up planning and completion. Opens staff to lease & compliance needs during and post lease-up; ensures transfer of information. Coordinates with the Sr. Compliance Specialist on property setup in property management software. Manages marketing efforts (waitlist setup, launches) and partnerships with referring agencies. Prepares Vacancy Workflow for applicant processing (referral, application, denial processes). Processes applicants per the Vacancy Workflow with the on-site team to ensure full occupancy and compliance with programs. Reviews applicant files for accuracy and compliance with rent, income limits, utilities, and program requirements; submits files to tax credit syndicator or other required entities. Other duties as assigned. Qualifications

High school diploma or equivalent (GED) required. 3 years’ experience with tax credit and/or affordable housing, including leasing and marketing. Valid Tax Credit Certification (TCS) or ability to attain within three months of hire. Reliable transportation to ensure timely arrival to the office or worksites. Competencies

Excellent verbal and written communication, organizational, and time management skills. Strong analytical and problem-solving abilities with meticulous attention to detail. Ability to work independently and with teams. Experience with tax credit and local affordable housing program rules and regulations. Ability to travel within the geographic area; during active lease-up, approximately three days per week in a physical office/property; otherwise 1-3 days per week. Proficiency in Microsoft Office, property management software (YARDI or similar), and related platforms. Ability to learn and use mobile devices and business applications.
