Role Overview

In the role of Senior Executive Assistant, you will be instrumental in providing exceptional support to three C-Suite executives. Your expertise in advanced scheduling, effective communication, and presentation preparation will empower leadership to concentrate on their strategic objectives.

Key Responsibilities

  • Advanced Calendar Management: Efficiently coordinate and prioritize complex calendars to align internal focuses, external commitments, and vital preparation time.
  • Professional Correspondence: Skillfully draft, curate, and oversee both everyday and sensitive emails and communications on behalf of the executives.
  • Presentation Support: Develop, format, and refine PowerPoint presentations and other materials for board meetings, leadership evaluations, and stakeholder interactions.
  • Meeting Coordination: Organize agendas, prepare meeting briefs, assist with logistics for both virtual and in-person gatherings, and track follow-up items post-meeting.
  • Travel Coordination: Plan and oversee intricate domestic and international travel arrangements, ensuring accommodations, transportation, and itineraries are seamlessly managed.
  • Expense Management: Effectively submit and reconcile executive expense reports, maintain document filing systems, and assist with various administrative projects.
  • Integrity & Team Collaboration: Maintain the utmost confidentiality while collaborating with internal teams to ensure operational efficacy across departments.

What We Seek

  • Experience: 2-5 years in a senior administrative role, ideally supporting multiple C-Suite executives.
  • Skills: High proficiency in Microsoft Office (especially PowerPoint and Outlook), along with familiarity in scheduling tools and virtual meeting platforms.
  • Attributes: Exceptionally organized, detail-oriented, proactive, and adept at navigating shifting priorities in a dynamic environment.
  • Communication: Superior written and verbal communication skills; polished, professional, and confident in representing executives.
  • Confidentiality: Strong discretion and integrity in handling sensitive information.
