We’re looking for a proactive, detail-oriented, and highly organized Executive Assistant to support the Founder & CEO. This full-time role is remote, dynamic, and central to the growth of the organization. About the Position
The Executive Assistant will be a critical partner to the CEO - managing calendars, streamlining systems, supporting client engagement, and leading special projects. This isn’t just a scheduling role. We’re looking for someone with strong project management skills , the ability to take initiative , and the foresight to anticipate needs before they arise.
This role will begin with a 90-day probationary period to ensure alignment on skills, culture, and fit.

Key Responsibilities
Executive Support : Manage complex calendars, prioritize commitments, and coordinate logistics for meetings, events, and travel
Draft, edit, and manage communications, reports, and presentations on behalf of the CEO
Organize and maintain internal communication to ensure timely responses and follow-up
Project Management & Systems : Track progress on key initiatives, meetings, and deliverables - ensuring deadlines are met
Create and manage systems for task tracking, accountability, and reporting
Develop and implement onboarding, training, and internal systems documentation
Evaluate and improve workflows to increase organizational efficiency
Operations & Accountability : Coordinate quarterly strategic planning sessions and weekly accountability check-ins
Maintain confidential files, contracts, expense reports, and business records
Conduct team surveys and track productivity/satisfaction metrics
Partner with accountant monthly to review financials and cash flow accuracy
Client & External Engagement : Support CEO with Tier 1 client outreach (20 contacts per month) and ensure timely follow-up
Help standardize templates for proposals, invoices, and client communications
Manage logistics for trainings, events, and special projects as needed
Skills & Qualifications
3+ years of experience as an Executive Assistant, Project Manager, or in a similar operations role
Strong project management skills (experience with tools like Calendly, Slack, HigherLevel and ClickUp preferred)
Excellent organizational and time-management skills
Tech-savvy with proficiency in ClickUp, Google Workspace, Slack, and productivity platforms
Exceptional written and verbal communication skills
Ability to work independently, anticipate needs, and take initiative
Proven track record of supporting senior leadership in a fast-paced environment
High degree of professionalism, integrity, and discretion
Compensation: Salary Range: $40,000–$50,000 annually or based on experience; Hourly Range: $20-25 per hour or based on experience
Work Status & Hours : Part-time, 20 hours per week (core hours: Monday - Thursday; 10:00am - 3:00pm EST with some flexibility). Primarily remote work environment with regular virtual collaboration and some in-person trainings in evenings and weekends; a 90-day probationary period will be conducted before considering the possibility of a part- or full-time role with benefits.

Financial reporting and organizational records are timely, accurate, and well-organized
Team members report improved communication, accountability, and productivity
Work Environment
This is a primarily remote position requiring strong communication, initiative, and independent management of priorities. You’ll collaborate regularly with the CEO and team to ensure operations are smooth and strategic goals are advanced.
