Member Services Office Supervisor Duties:
Our Member Services Office Supervisor oversee the Member Services Unit which serves as out communication and information hub of our Recreation Centers providing extensive and direct legendary customer service. Our Recreation Centers are open seven days a week from early morning to late night, including most holidays. Specific duties and responsibilities include but are not limited to:
Office Management and Supervision
Perform other job duties requiring skills, knowledge and physical requirements as demanded by those duties described or less. Individual assignments will be determined by the supervisor based on the current workloads and department needs.
Must be available to work a consistent varied schedule including early mornings, nights, weekends and holidays to facilitate facility operations. Typical weekday shifts include 4:45 a.m. to 1:15 p.m., 8:30 a.m. to 5:00 p.m., mid-shift of 10;00 a.m. to 6:30 p.m., closing shift of 1:00 p.m. to 9:30 p.m. and weekend shifts of Saturday 8:00 a.m. to 5:00 p.m. and Sunday 9:00 a.m. to 5:00 p.m..

Member Services Office Supervisor Duties:
Our Member Services Office Supervisor oversee the Member Services Unit which serves as out communication and information hub of our Recreation Centers providing extensive and direct legendary customer service. Our Recreation Centers are open seven days a week from early morning to late night, including most holidays. Specific duties and responsibilities include but are not limited to:
Office Management and Supervision
- Supervise all aspects of the front desk in a public recreation center
- Supervise multiple full and part time team members
- Collaborate with team members and work units to provide a positive and healthy work environment
- Serve as a member of the site leadership team
- Actively participate and model behavior that creates a positive, inclusive and welcoming atmosphere
- Oversee hiring, training, mentoring, scheduling, task assignments, performance reviews and discipline of team members
- Provide guidance and support to team members on escalated customer inquiries or transactions
- Develop staff work schedules and ensure appropriate coverage
- Demonstrate effective leadership to meet established team goals and expectations
- Audit full and part time payroll
- Generate and analyze financial and statistical reports
- Utilize Power BI and other reporting methods to make data driven decisions, identify trends, and take appropriate action
- Utilize conflict resolution skills
- Serve as Facility Supervisor in the absences of the Center Supervisor or Recreation Specialist II
- Prepare, audit and submit daily revenue collections, deposits, cash balance reports and closeouts
- Adhere to all city and departmental policies and guidelines for procurement, requisitions, purchase orders, quotes, invoices, etc.
- Utilize Oracle database and provide procurement guidance and assistance to other team members
- Actively and positively engage with customers, and provide facility tours and promote our programs and services
- Assist customers with account inquires and resolve concerns in a positive manner
- Provide legendary customer service in person, via telephone, and in writing
- Process registration and financial transactions for a variety of classes, camps programs and membership utilizing database and point of sales systems.
- Enter and maintain program information in ActiveNet database
- Maintain confidentiality of patron accounts, financial and database records, and FOIA requests
- Process room rentals and complete work orders
- Manage records retention
- Prepare written correspondence and record meeting minutes
- Utilize Microsoft Office products such as Word, Excel and Outlook
- Work with databases such as ActiveNet, InSITE, PowerBI, Corvel and Risk Master
- Assist in resolving center computer, printer, copier and phone issues
- Operate Point of Sale cash register (computer, ID camera and credit card system
- Utilize a City credit card and reconcile monthly purchases
- Assist with administrative support projects and tasks as needed
