Overview

The 340B Coordinator will assist the 340B Program Manager in maintaining the hospital's 340B drug program in an auditable state. Responsibilities include oversight of outpatient drug purchasing, inventory processes and dispensing pattern reconciliation, data analysis and trending, monthly reporting on savings opportunities, and maintenance of split billing software. The role ensures compliance with all regulations and interpretations, supports full implementation of the program in all qualified areas, and serves as a liaison to 340B software vendors and wholesale distributors. Responsibilities

Audit, review, and monitor utilization records and 340B purchasing accounts to ensure software/tools function properly and accurately. Maintain collaborative relationships with split billing software vendors and wholesalers, providing timely resolution and communication of issues. Oversee quality assurance and audits for 340B participating areas; ensure standard operating procedures are followed and monitor drug purchases on the GPO, WAC, and 340B accounts. Lead multidisciplinary 340B Workgroup and report to the 340B Executive Steering Committees on program compliance and expansion initiatives. Coordinate ongoing program operations, compliance oversight processes, audits, data requests, and related activities. Manage drug selection, procurement, inventory control, and coordination of the 340B program; maintain system databases to reflect formulary changes. Monitor purchasing, invoicing, receiving, and inventory control processes; balance product availability with cost-efficient inventory; coordinate annual inventory and monthly cycle counts with purchasing staff. Assure compliance with 340B program requirements for qualified patients, drugs, locations, and providers. Review and refine monthly 340B cost savings reports detailing purchasing, dispensing patterns, and internal audit results. Monitor ordering processes and ensure pricing data from wholesalers is current. Prepare and analyze contract payment reconciliations based on cost reports and payment documentation. Act as intermediary between Pharmacy and Cerner IT for 340B-related issues; define reporting needs and coordinate system modifications with IT. Monitor and assist in maintenance/enhancement of third-party 340B software programs. Financial / Contractual Compliance

Maximize participation in 340B and areas for cost reduction; contribute to operating and capital budgets. Assist with evaluating performance reports, budget variances, and action plans. Conduct/coordinate annual inventory and submit results for review and analysis. Adhere to prime vendor agreements and contract compliance with buying groups. Monitor all areas of 340B outpatient use; work with purchasing coordinators to maximize participation and appropriate therapeutic or generic choices. Monitor 340B pricing exclusions or shortages and establish appropriate alternatives where possible. Identify additional qualified areas for 340B use and explore creative services or disease management approaches that may qualify. Review 340B account records for exceptions and consider alternatives to standard practice; participate with prime vendor program Apexus/PVP for formulary pricing and savings opportunities. Standardize formularies to maximize 340B participation and savings; engage with manufacturers, GPOs, and peers to identify contracting opportunities. Communicate with purchasing coordinators and directors to establish consistent contracts with participating manufacturers; leverage purchases across facilities when possible. Routinely review contracts to ensure clinical data supports therapeutic equivalents and provide leadership with recommendations. Regulatory Compliance / Quality Assurance

Serve as institutional compliance expert on 340B qualifications, policies, and virtual inventory processes for mixed-use areas. Coordinate with finance to monitor changes affecting 340B qualification (service points, ownership, joint ventures, DSH variations, etc.). Attend approved conferences and monitor professional publications to ensure up-to-date interpretations and best practices. Routinely review points of service for 340B participation to ensure eligibility and patient qualification. Reconcile utilization records and purchasing accounts to ensure split billing tools work correctly; perform internal audits and coordinate external assessments as needed. Develop and monitor monthly/annual reports on 340B participation, documenting utilization, savings, issues, and discrepancies for leadership review. Communicate questions, issues, or discrepancies to appropriate leadership. Organizational Accountabilities
