Position Summary

Builders Vision is hiring for a highly organized and proactive Office Manager & Receptionist to join our People Team on a full-time basis (4 days in office, 1 day remote). This role is ideal for someone who enjoys wearing multiple hats, thrives in a dynamic environment, and has excellent communication and organization skills. The position will primarily focus on office management and front-desk responsibilities, while also providing back-up support to our Executive Assistants, as needed.

Responsibilities

Office Management

  • Oversee the day-to-day operations of the San Francisco office, ensuring a well-organized, efficient, and welcoming environment.
  • Serve as the first point of contact with building management and vendors; coordinate resolution of office issues (e.g., utilities, HVAC, security, and janitorial services).
  • Manage office supplies, equipment, and vendor relationships; maintain a contact list for vendors and contractors.
  • Work closely with the Director of Office Administration to maintain and monitor the San Francisco office budget, including vendor contracts, invoices, and expenses.
  • Support business continuity and emergency response procedures in coordination with building staff.
  • Partner with the IT Team (based in Chicago) to ensure A/V and conference room equipment are functional and available for meetings.
  • Assist in onboarding/offboarding processes and orient new hires to office systems, equipment, and procedures.
  • Help establish and refine office procedures, systems, and best practices as our San Francisco office grows.

Reception & Front Desk

  • Greet and assist visitors, vendors, and guests, creating a positive first impression of the office.
  • Manage incoming deliveries and mail services.
  • Coordinate meeting room bookings, catering, and office events to support a collaborative and engaging workplace.
  • Organize office events, team gatherings, and wellness initiatives that build community and support an inclusive culture.
  • Serve as a point person for employee feedback on the office experience and champion improvements where needed.

Executive Assistant Support (Backup)

  • Provide backup EA coverage as needed, including calendar management, travel coordination, and expense processing.
  • Handle highly confidential and sensitive information with discretion.

Administration & Special Projects

  • Maintain office policies, procedures, and reference materials.
  • Manage document shredding services, as applicable.
  • Accept and lead special projects to improve office operations.

Project Planning & Coordination

  • Develop a comprehensive office move plan, including timeline, budget and key milestones
  • Serve as the primary point of contact for all vendors (movers, IT, furniture supplies, etc.)
  • Post move support to ensure the new office is fully functional (phones, internet, office supplies, safety measures, etc.)
  • Oversee the closure of the old office which may include hire cleaners and final office inspections

Qualifications

  • 4+ years of experience in office administration, reception, or executive support.
  • Strong organizational, communication, and multitasking skills.
  • Comfortable working in a fast-paced, startup environment and adapting to evolving needs.
  • Proficiency in Google Workspace and Microsoft Office; familiarly with A/V systems a plus.
  • Professional presence and ability to build strong relationships with colleagues, vendors, and guests.

Position Type/Expected Hours

This is full-time, 4 days in office is expected. Regular work hours are 9:00 a.m. to 5:00 p.m. Evening and weekend availability may be required on occasion, but will not be the norm.

There are several factors taken into consideration in making compensation decisions including but not limited to skill sets; specific job related experience and training; job location, licensure and certifications; and other business and organizational needs. At Builders Vision, we apply a total rewards philosophy where all aspects of compensation and benefits are taken into consideration in determining compensation terms. Expected annual base salary range for this role is $95,000-$115,000 plus this role is eligible for a discretionary annual bonus, discretionary long-term incentive award, and benefits.
