Position Title: Administrative Assistant

Reports to: Assistant General Manager, CFO and General Manager

Position Summary: Provides General Administrative support for Executive Management team.

Essential Functions:

  • Responsible for assisting in projects and various assignments as assigned by the Executive team.
  • Assists with meeting minutes of various committees, specifically Finance, Food & Beverage, Leadership, the Public Affairs committee, and the Art Committee.
  • Assists in organizing and maintaining records for the Executive team.
  • Open and organizes mail, including routing of inquiries to appropriate staff members.
  • Receives visitors and telephone calls and refers them to appropriate individuals.
  • Manages correspondence, reports, and purchase order requests for the Executive team.
  • Handles purchase orders and AMEX statements.
  • Assists with calendar coordination and communication.
  • Arranges meetings and takes minutes as needed.
  • Logs complimentary and complaint letters for Board and House committee; prepares replies to comment cards for signature.
  • Assists with all Club events assigned by the Executive team, (some evenings & weekends)
  • If needed assists with the correspondence establishing reciprocity with other Clubs.
  • Monitors and supervises the issuance of guest cards and introductory cards.
  • Performs other duties as assigned.

Qualifications and Skills:

Education: Any combination of education, training or experience that provides the required knowledge skills and abilities.

Experience: Three years’ prior administrative assistant experience in a corporate setting.

Additional Skills:

  • Minimum 50 wpm typing skills; proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
  • Has familiarity with taking minutes with an ability to do shorthand a plus.
  • Knowledge of standard office equipment is required.
  • The ability to communicate effectively, establish and maintain effective working relationships with all staff and general public required.
  • Is either a Notary or is willing to become a Notary upon hiring.
