HUMAN RESOURCES ASSISTANT
Job Summary
The HR Assistant will perform various administrative tasks involved in assisting with managing employee records, recruitment processes and providing services to support the effective and efficient operations of the organization's human resources.
Essential Duties & Responsibilities
- Maintains accurate and up-to-date human resource files, records, and documentation.
- Maintains the integrity and confidentiality of human resource files and records.
- Assist in periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
- Prepare and distribute HR-related documents, including onboarding materials.
- Conducts or assists with new hire orientation.
- Provides clerical support to the HR department.
- Acting as a first point of contact for personnel queries.
- Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, apprenticeship program, holiday parties, and retirement celebrations.
- Process application and renewals for DBIDS.
- Maintain accurate records of issued and expired DBIDS credentials.
- Assist employees with questions and issues related to DBIDS.
- Other duties as assigned.
Required Skills & Experience
- Strong understanding and maintain of confidentiality of sensitive HR information.
- Excellent written, oral communication and organizational skills, with an ability to prioritize important projects.
- Must be approachable and helpful.
- Strong critical thinking skills.
- Good ethical judgment.
- Ability to multi-task and manage multiple priorities.
- Familiarity with DBIDS processing and requirements.
- Proficient in MS Office (Word, Excel, PowerPoint) and similar computer applications.
- Familiarity with the Guam Apprenticeship Program is preferred but not required.
- A valid Guam driver’s license is preferred; position may involve driving as part of job duties.
Qualifications
- Associate’s or Bacherlor’s degree in Human Resources, Business Administration, or a related field required.
- Prior related office experience preferred.
- Demonstrated trustworthiness and ability to handle sensitive information with discretion.
