Location: Tacoma, WA (Hybrid: Tues–Thurs in office, Mon & Fri remote)

Reports to: Co-CEOs & COO

The Role

We are seeking a highly organized, resourceful, and proactive Executive Assistant to provide strategic and administrative support to our Co-Founders/Co-CEOs and COO. This role is essential in driving organizational efficiency, streamlining day-to-day operations, and serving as a trusted partner in managing priorities. The ideal candidate thrives in a fast-paced, dynamic environment; anticipates needs before they arise; and brings a balance of structure, adaptability, and creativity to their work.

Key Responsibilities

  • Executive Support
    • Manage complex calendars, scheduling, and prioritization of leadership activities.
    • Prepare executives for meetings with agendas, briefing materials, and follow-up actions.
    • Draft and manage executive-level communications for internal and external stakeholders.
    • Coordinate travel logistics, itineraries, and accommodations.
    • Process expense reports and administrative tasks with accuracy and timeliness.
  • Operational Coordination
    • Develop and refine presentations and decks for board, investor, and leadership updates.
    • Track key projects, ensuring deadlines are met and deliverables stay on track.
    • Support board meeting preparation, including materials, notes, and logistics.
    • Assist with investor relations through reports, updates, and communications.
    • Handle sensitive and confidential information with discretion and professionalism.
  • Office & Team Support
    • Plan and coordinate company-wide events, retreats, and offsites.
    • Serve as a culture champion, fostering communication and collaboration across teams.
    • Support general office operations and act as a point of contact for leadership needs.

Qualifications

  • 4+ years as an Executive Assistant or similar role (C-level support strongly preferred).
  • Exceptional organizational and time-management skills; proven ability to prioritize and multitask.
  • Strong written and verbal communication skills.
  • High degree of professionalism, discretion, and sound judgment.
  • Advanced proficiency in Google Slides/PowerPoint; skilled at creating compelling presentations.
  • Strong command of Google Workspace (Docs, Sheets, Calendar, Gmail) and Slack or Roam.
  • Familiarity with project management tools (Asana, Notion, or similar).
  • Experience in a startup or high-growth company a plus.

Compensation & Benefits

Salary: $85,000–$105,000 annually (DOE)

Leave

  • 15 days PTO annually, with increases over tenure.
