The IDEX team currently has an opening for an Executive Administrative Assistant located in our Wooster, Ohio office. As an Executive Assistant, you will provide advanced administrative support and relief of administrative detail to company executives, availing them the additional time for their top management responsibilities.
Responsibilities
- Contribute to the efficient use of the executive's time by relieving the executives of administrative details capable of being delegated.
- Perform a multitude of highly complex administrative tasks and provide full administrative support using superior knowledge of administrative functions.
- Provide administrative assistance to support the executives in daily work, including anticipating and following up on deadlines, ensuring information is available, communicating with people inside and outside the company, researching and gathering information, completing projects and assignments punctually.
- Utilize discretion, judgment, and initiative to continue the work responsibilities of the office when the executive is unavailable in an efficient manner.
- Determine within moderately well-defined limits the activities and duties that can be executed without personal review or clearance of the executive.
- Maintain the executive's calendar, schedule meetings as requested, identify and assess strategic priorities when conflicts arise, consult with the executive when necessary, manage mail, respond to written requests, and route mail that does not require the executive’s attention.
- Respond quickly and enthusiastically to rapidly changing demands; anticipate deviations from schedules and independently develop adjusted plans to address changes.
- Assist with preparation of reports, presentations, spreadsheets, and other complex documents; coordinate and facilitate virtual meetings as needed (e.g., MS Teams, Zoom).
- Collaborate with team members to provide cross-coverage for departmental staff functions, including agendas, meeting action items, maintaining department calendars, and day-to-day office functions.
- Arrange travel, lodging, and transportation with meticulous attention to detail for the executive; coordinate travel for IDEX domestic and global business units, interview candidates, and business guests; prepare and reconcile expense reports.
- Provide support of daily office operations and serve as front-line liaison for visitors, guests, and customers.
- Assist with special projects and back-up as needed.
- Operate in a hybrid model with 3-5 days in the office.
Qualifications
- 5+ years of experience as an administrative assistant at an executive level.
- Experience booking global travel, preparing and completing expense reports, managing calendars, etc.
- Experience in a corporate setting with an established executive leadership structure or comparable experience.
- High level of professionalism, integrity, trust, and strong work ethics.
- Ability to handle confidential and sensitive matters; excellent written and verbal communication and customer service skills.
- Outstanding computer skills; knowledge of Microsoft Office (Word, Excel & PowerPoint).
- Strong organization and follow-up skills with the ability to multi-task to meet deadlines.
- Detail-oriented, forward-thinking, self-starter with a positive can-do attitude.
- Ability to analyze and drive solutions based on business needs and directions; strong initiative with minimal supervision.
- Ability to professionally handle problems; strong time management and organizational skills.
- Ability to focus on customer satisfaction, internal team building, promote a positive company image, and remain professional, friendly, and self-motivated.
- Excellent interpersonal skills and the ability to communicate effectively with individuals at all levels.
Total Rewards
The compensation range for this position is $67,500.00 - $101,300.00, depending on experience. This position may be eligible for a performance-based bonus plan.
