Role Description
This is a full-time, off-site role located in the Los Angeles Metropolitan Area. The Executive Assistant will be responsible for managing executive schedules, providing executive support, handling communication, bookkeeping, processing payroll, preparing financial reports, and performing other administrative assistance tasks as needed.
Responsibilities
Specific responsibilities include, but are not limited to:
- Proactive management of calendar, travel, bookkeeping, and expenses for CEO and CFO.
- Scheduling and coordination of meetings and calls, internally & externally across global time zones.
- Bookkeeping functions such as updating financial statements, accounts payable, accounts receivable, etc.
- Process financial reports, accounts payable/receivables, and employee payroll.
- Assist with team projects and events as needed.
- Partner closely with the organization’s compliance/HR partners to identify issues and solutions affecting the morale and cultural health of the organization.
- Coordinate offsite team events & activities.
- Assist in drafting presentations, documents, and other department deliverables.
- Proficient use of Google Workspace tools.
- Proficient use of virtual meeting software such as Zoom, Teams, Google Meet to facilitate meetings, presentations, screen-sharing, and meeting recording.
- Moderate proficiency in social media platforms such as IMDb, Instagram, Facebook, YouTube, etc.
- Prepare company announcements, letters, or other organization-wide communications as requested.
- Coordinate travel arrangements (domestic and international).
- Assist with new hire onboarding plans, including W9, I9, and other relevant required new hire documentation.
Qualifications
- 5-7+ years of experience managing multiple executive calendars preferred.
- Expert in executive administrative assistance and administrative support skills.
- Proficiency in bookkeeping/accounting software such as QuickBooks or Wrapbooks.
- Proficiency in Microsoft Outlook, Teams, calendars, Word, Excel, PowerPoint, and other Microsoft software.
- Proficiency in Google Workspace: Gmail, Google Docs, Sheets, Slides, Google Groups, and related Google software.
- Proficiency in preparing legal documents for signature and execution of contracts via DocuSign.
- Proficiency in software systems across departments as applicable (Adobe Suite, Dropbox, etc.).
- Strong communication, writing, and editing skills.
- High attention to detail.
- Responsive and able to work flexibly across multiple time zones.
- Able to stay calm under pressure and meet short deadlines.
- Strong organization and time management skills with the ability to prioritize and balance multiple projects and switch between tasks.
- Independent worker with strong judgment and ability to make decisions quickly.
- Discreet with the ability to maintain confidential information in secured company databases and repositories.
- Bachelor’s degree in business administration, communications, or related field is a plus.
Compensation
- Annual Base Salary: $60,000-$84,000 (based on experience, skills, and capabilities).
- Bonus plan based on individual performance and company profit-sharing plans.
