We are seeking a proactive, highly organized Executive Assistant to support the Chief Partnerships Officer and members of the Partnerships Leadership Team (4 leaders). This role provides high-level administrative support (calendar management, travel coordination, expense reporting) and engages in project-based work (developing presentations, managing communications, and assisting with strategic initiatives). The ideal candidate is a skilled multitasker who combines strong attention to detail with the ability to anticipate needs and execute independently in a fast-paced environment. Key Responsibilities
Administrative & Operational Support: Manage complex calendars for the Chief Partnerships Officer and Partnerships leadership team across time zones; handle scheduling, conflicts, and prioritization. Coordinate domestic and international travel, including flights, itineraries, lodging, and meeting logistics. Prepare, submit, and reconcile expense reports in Concur and per company policy. Provide meeting support, including agenda prep, note-taking, and action item follow-up. Coordinate department meetings and functions: invites, materials, facilities, catering, and technical support. Coordinate with Legal on vetting department-related contracts. Act as liaison between the Chief Partnerships Officer’s office and internal/external stakeholders with timely follow-up and clear communication. Project-Based & Strategic Support: Assist in preparing presentations and reports using PowerPoint and Google Slides; support cross-functional project timelines and communication flow; track status and deadlines for small-scale initiatives; develop systems to maximize efficiency; conduct light research and compile data. Team Support & Coordination: Serve as a point of contact for internal stakeholders; help plan team events, offsites, and milestone meetings; assist with onboarding logistics and internal communications for the Partnerships team; coordinate with 2K Administrative team as needed. A successful candidate will work independently and as part of a team with minimal instruction, maintain confidentiality, and have an eagle eye for dates, times, and details. The ability to spot inefficiencies and improve daily processes will help ensure long-term success. Qualifications
Bachelor’s degree or equivalent; 5+ years related experience, or equivalent combination of education and experience. Prior experience as a senior-level admin supporting C-Level executives highly desired. Experience in a business development environment representing the company with external stakeholders. Excellent verbal and written communication skills; outgoing personality with strong interpersonal skills. Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel); experience with Google Suite and Zoom/online conference solutions preferred. Acute attention to detail; strong spelling and grammar skills; experience with large-scale meeting coordination. Self-motivated, able to multi-task and manage priorities and workflow; adaptable to changing priorities. Strong judgment with timely and sound decision-making; excellent organizational and problem-solving skills; professional communication across in-person, phone, and electronic channels. Compensation & Benefits
The pay range in California at the start of employment is expected to be between $105,000 and $125,000 per year. Final base pay is based on market location and may vary based on experience and other factors. The total compensation package may include a bonus and/or equity, and eligibility to participate in our 401(k) plan and Employee Stock Purchase Program. Regular, full-time employees are eligible for a comprehensive benefits package, including medical, dental, vision, basic life insurance, 14 paid holidays, paid vacation (15–25 days, or discretionary time off), up to 10 paid sick days, paid parental and compassionate leave, wellbeing programs, Maven family planning support, commuter benefits, and reimbursements for fitness-related expenses.
