General Summary: Serves in a critical leadership role as the ambulatory liaison across various clinic locations. Collaborates closely with medical, nursing and ancillary leadership to coordinate the day-to-day Patient Service Representative support activities in the ambulatory clinics and selected ancillary areas. Manages Patient Service Representative teams and operational functions of the assigned areas. Ensures the delivery of excellent customer service across patient access areas of responsibility. Manages the human resources and operational functions of the assigned areas. Identifies and leads performance improvement initiatives in collaboration with the Director and other leadership. Essential Job Functions
Responsible for leadership, direction and coordination for the ambulatory and selected ancillary Patient Service Representative support services functions. Supplements staffing routinely for additional support to the Patient Service Representative team in ambulatory and ancillary areas as needed. Promotes growth and development of staff through performance coaching, recognition, and feedback. Fosters and facilitates customer-oriented communication and service excellence. Serves as a conduit for Ambulatory Patient Service Representative information that flows to other departments. Responsible for the human resource functions of recruitment, selection and retention, ensuring that staff are scheduled for optimal coverage, orientation/training, day to day delegation, monitoring of work activities, performance evaluation, and progressive discipline when applicable. Administers all payroll functions for support staff across the areas of responsibility. Coordinates with Revenue Cycle to ensure all pre-service collections are processed appropriately and documented within Epic. Ensuring Patient Service Representative teams are securing all PHI including financial information for families as outlined and trained. Work with Patient Service Representative teams to ensure financial goals are monitored and met. Also collaborates with Patient Service Representative teams to identify any variances in their collections. Assists in the implementation, monitoring and analyzing of systems for patient scheduling, ancillary testing and effective monitoring of patient collections. Serves as resource person in ensuring appropriateness of ancillary scheduling templates. Assists Director in preparing annual departmental operating and capital budgets. Monitors progress, reports and justifies any significant variance which occurs. Monitors expenses to enhance fiscal performance. Administer all ETA/payroll functions for the department. Oversees and manages quality improvement activities and customer service initiatives related to ambulatory operations and Patient Service Representative staff. Identifies opportunities for growth, process improvement and cost containment. Functions as Ambulatory Super-User for all Ambulatory-related Epic modules, Scheduling, POS, Templates, Epicare, and Clarity. The authority to hire, separate, promote, demote, write and administer performance evaluations. Other job functions as assigned. Knowledge, Skills, And Abilities
Bachelor’s degree required. Minimum of 3 years of supervisory experience in a healthcare environment required. Excellent communication/listening skills. Ability to make quick, accurate decisions daily. Knowledge of medical terminology, third party billing, and managed care requirements. Proficient computer skills and aptitude. Substantial interpersonal skills sufficient to work effective with pediatric patients, families, physicians, nursing and other allied health and medical center personnel. Good analytical ability, excellent organizational skills. Education and Pay Range
