Overview
GalaxyCon is seeking a highly organized and detail-oriented Field Marketing Coordinator to support our nationwide marketing and activation initiatives.
Key Responsibilities
Inventory & Logistics
Own and track inventory and all shipping/receiving for nationwide activations.
Review and maintain inventory accuracy with proper documentation.
Order, manage, and track all supplies needed for activations and campaigns.
Maintain calendars for activations and direct mail initiatives.
Direct Mail Program
Lead logistics and assembly for multiple direct mail campaigns simultaneously.
Manage multiple mailings simultaneously while meeting strict deadlines.
Follow up on direct mail responses, engage leads, and foster long-term local partnerships to cultivate community relationships and drive cross-promotion.
Campaign & Activation Support
Assist in the planning, research, and execution of field marketing activations, including conventions, festivals, and community events.
Coordinate activation logistics, including staffing, travel, supplies, shipments, and payments.
Conduct market research and outreach to support new initiatives.
Partner with digital marketing and graphics teams to update and produce promotional materials.
Work closely with digital marketing, graphics, e-commerce, sales, and PR teams to ensure cohesive execution.
Performance Tracking & Reporting
Monitor, analyze, and report on campaign, direct mail, and activation performance.
Maintain budgets and track expenses for accuracy.
Track ROI and key engagement metrics for direct mail initiatives and activations.

A spreadsheet expert with a passion for accuracy, data tracking, and analysis.

Experienced in managing logistics and inventory systems.
Hands-on, resourceful, and ready to get the job done.
Qualifications
1–2 years of experience in field marketing coordination, inventory management, or related roles.
Advanced proficiency with
Google Workspace
(Docs, Sheets, Drive, Calendar, etc.).
Experience with
Airtable
is strongly preferred.
Familiarity with
Trello ,
ShipStation ,
Eventeny , or similar project management/logistics tools is a plus.
Familiarity with
Photoshop
is a plus.
Capable of lifting 50+ lbs unassisted.
Strong organizational, communication, and project management skills.
Ability to manage multiple projects with competing deadlines.
Passion for
comic books ,
pop culture ,
sci-fi ,
fantasy ,
anime ,
gaming ,
cosplay , and
fandom communities .
Willingness and ability to travel to select GalaxyCon events and activations, including weekends and holidays.
