Employment: Regular Full Time, 40 hours/week, 8:30 am – 5:00 pm, onsite only
Position Purpose: To ensure the smooth and efficient operation of the Guarini Institute. The role will require coordinating and performing a wide variety of administrative and programmatic support functions for the Guarini Institute, and Off-Campus Program faculty directors that will increase office efficiency, expedite/coordinate the work of others, and ensure the smooth operation of the office and off-campus program offerings.
Responsibilities
- Office Management: serve as the first point of contact for the Guarini Institute; manage communications via phone, email, and in person; oversee office space operations; manage the calendar and events; track deadlines; prepare and follow up for meetings and programs; schedule meetings and reserve spaces; take minutes and disseminate information; manage supplies and AV setup.
- Outreach and Communication: develop and implement outreach to internal and external constituents; assist in preparing communications materials; manage the Guarini Institute website and social media accounts; support campus events; update campus partners on enrollments and updates.
- Program Support: assist with communications and reports; maintain off-campus program enrollments, rosters, waitlists, and withdrawals; assist in organizing campus visitors; manage record systems (Terra Dotta, Banner, Data Warehouse); support application review processes and coordinate with faculty on reviews; schedule faculty meetings with students during application and orientation phases.
- Other duties: demonstrate commitment to diversity, inclusion, and cultural awareness; perform other duties as assigned.
Qualifications
- Education: Associates or equivalent combination of education and experience.
- Experience: 2 – 3 years of administrative experience with increasing levels of autonomy and responsibility.
- Skills, Knowledge, and Abilities:
- In-depth knowledge of office procedures
- Ability to interact effectively with students, staff, faculty, and foreign institutions
- Ability to work independently and as part of a team
- Excellent organizational and project management skills; multitasking ability
- Problem-solving, decision-making, and troubleshooting skills
- Proficiency in Microsoft Office; familiarity with databases and electronic communications; willingness to learn new systems
- Strong writing and proofreading skills
- Ability to learn to update web pages and manage social media postings
- Detail-oriented with high accuracy
- Strong interpersonal and communication skills across constituencies on and off campus
- Tact, professionalism, and handling of sensitive information
- Preferred: Experience in an academic environment
