Job Summary

The Medical Receptionist is the first point of contact for patients and visitors in a healthcare setting. This role is responsible for managing front desk operations, including greeting patients, scheduling appointments, handling phone inquiries, maintaining medical records, and ensuring smooth communication between patients, providers, and staff.

Responsibilities

  • Greet patients and visitors in a professional, friendly manner.
  • Answer and direct phone calls, take messages, and respond to inquiries.
  • Schedule, confirm, and reschedule patient appointments.
  • Register new patients and update existing patient information.
  • Collect and verify insurance details, process patient billing, and handle payments.
  • Maintain confidentiality of patient records in compliance with HIPAA and other regulations.
  • Manage incoming and outgoing correspondence (emails, faxes, mail).
  • Ensure waiting and reception areas are clean, organized, and welcoming.
  • Assist with administrative tasks such as filing, scanning, and data entry.
  • Communicate effectively with doctors, nurses, and other medical staff to support patient care.

Qualifications

  • High school diploma or equivalent (some employers may prefer postsecondary education in medical administration).
  • Previous experience as a receptionist or in a healthcare setting preferred.
  • Knowledge of medical terminology and insurance processes is a plus.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in computer systems (electronic health records, scheduling software, MS Office).
  • Ability to maintain professionalism and confidentiality.
