Executive Assistant to CEO, COO & Chair of the Board

MICA (Mutual Insurance Company of Arizona) is a physician-owned, physician-focused mutual insurance company that has been protecting and supporting healthcare professionals for over four decades. We are currently seeking an Executive Assistant (EA) to provide high-level support to our CEO, COO, and Chair of the Board. This role is central to ensuring executive effectiveness, strong Board governance, smooth corporate operations, and successful employee and community engagement initiatives.

What You’ll Do

  • Executive Support: Manage calendars, coordinate meetings/events, draft correspondence, and track key initiatives for the CEO and COO.
  • Board Governance: Support the Board Chair with materials, logistics, and communications; serve as corporate recording secretary; manage Board and Committee meeting processes.
  • Strategic & Financial Oversight: Process trustee fees and expenses, manage budgets for Board activities and employee engagement, and assist with strategic initiative tracking.
  • Employee Engagement & Events: Help lead the Employee Engagement Committee, plan appreciation events, milestone celebrations, and partner summits, and align initiatives with company values.
  • MICA Medical Foundation (MMF): Support Foundation Board meetings, community engagement events, grant activities, and partnerships.
  • Liaison & Communication: Represent the CEO, COO, and Board Chair with internal staff, policyholders, regulators, and community partners.
  • Admin & Office Support: Provide backup coverage for the front desk when needed, assist with general office administration, and step in to support team operations to keep things running smoothly.

What We’re Looking For

  • Bachelor’s degree in business administration, communications, or related field preferred.
  • 7–10 years of executive-level administrative experience, ideally supporting C-suite leaders and/or Boards.
  • Experience with Board governance, corporate recordkeeping, and budget/expense management.
  • Strong skills in Microsoft Office Suite and Board portal technology.
  • Excellent communication, organization, and project management skills.
  • High degree of discretion with sensitive and confidential information.
  • Background in insurance, healthcare, financial services, or nonprofit/foundation support is a plus.

Salary: $65,000-$85,000
