As the Executive Assistant at DYAD Law, you will play a pivotal role in supporting the CEO through rapid growth, cross-border operations, and high-profile client engagements.

Responsibilities
Essential duties may include:
Within the first 30-60 days:
- Learn DYAD’s services, clients, market position, mission, and operations; support the CEO’s evolving role; gain exposure to upcoming ventures.
- Build trust with the CEO and leadership; learn communication and decision-making styles; partner with the Business Manager to align priorities and scheduling.
- Begin managing the CEO’s calendar and filtering communications with oversight; gain fluency in tools and begin building immigration case knowledge.
Within the next 3-5 months and ongoing:
- Independently manage the CEO’s schedule and communications; support planning sessions; participate in leadership meetings; build trusted relationships through professional correspondence.
- Learn DYAD’s legal workflows; assist with projects; strengthen leadership partnerships and build cultural awareness to support company goals.
Within the next 6-9 months and ongoing:
- Prepare and manage quarterly and half-year state-of-the-union meetings, including agenda development and follow-up tracking.
- Expand ability to hold the CEO accountable on deadlines and follow-ups; ensure projects and OKRs progress amid changing priorities.
- Thrive in a fast-paced, entrepreneurial environment; flex between structured planning and rapid pivots; help the CEO stay focused on high-value priorities.
Within the next 9-12 months and ongoing:
- Become fully integrated as the CEO’s right hand, anticipating needs and ensuring priorities, projects, and new ventures are supported seamlessly.
- Refine workflows with the CEO’s productivity coach regarding calendar, email, and phone management.
- Attend a performance review to reflect on successes and opportunities, while discussing capacity and alignment with broader support across the business.
Education, Skills & Experience
- 5+ years of professional administrative and/or operational experience, including at least 2+ years as an Executive Assistant supporting C-level executives in fast-paced, high-growth environments; proven success through periods of rapid change.
- Fluent in Spanish with strong cultural fluency in Mexican contexts to support cross-border teams, immigration-related matters, and international travel.
- Proven ability to manage executive calendars, coordinate meetings and travel, triage email and phone communications, and safeguard confidentiality with foresight and precision.
- Proven ability to conduct weekly reviews, prepare agendas, track action items, and follow up with leaders to ensure deadlines are met.
- Exceptional written and verbal communication skills; able to filter, adapt, and refine the CEO’s message for different audiences and goals.
- Discretion in handling confidential and high-profile information such as immigration cases, legal documents, and sensitive client matters.
- Thick-skinned, emotionally intelligent, and composed under pressure; able to thrive under a direct leadership style and shifting priorities.
- Highly organized, detail-oriented, and proactive in anticipating priorities; capable of adjusting schedules dynamically to keep projects moving forward.
- Technically proficient with Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfortable navigating Mac and PC ecosystems and various productivity tools.
- Experience in high-profile, large, or complex organizations where discretion and adaptability were essential (highly preferred).
- Experience supporting executives through rapid growth, pivots, or organizational shifts; ability to provide structure without rigidity.
- Experience with event planning and project coordination, including vendors, logistics, budgets, and deadlines for executive-level events (highly preferred).
- Strong interest in continuous learning; openness to attending conferences and expanding knowledge in immigration basics or other evolving business needs (required).
- Familiarity with legal/immigration processes or certifications in executive support is a plus.
Working Environment, Compensation, and Benefits
Working Environment: Salaried-exempt role with an expected workload of 40–45 hours per week.
85% remote with quarterly travel to Vista, CA headquarters and 3–4 annual trips to Hermosillo, MX office.
Compensation range: $75,000 - $95,000 annually based on skillset and experience.
