Responsibilities
- Medical assistant/Med secretary for Breast Surgery/Plastics programs. Ensures equipment in exam rooms is working each morning (e.g., otoscopes, blood pressure cuffs) and maintains appearance, cleanliness, and stock levels of examination rooms.
- Sterilizes instruments and maintains diagnostic equipment; follows OSHA guidelines for cleaning and disposing of hazardous materials.
- Provide direct patient care within MAPS' protocols for clinical assistants and assist nurses and providers with procedures per protocols.
- Triages phone calls relating to patient care from patients, nursing home staff, hospitals, other physician offices, labs, and pharmacies as requested by the clinical coordinator.
- Administers injections per protocols; performs procedures as directed; performs phlebotomy as necessary.
- Ensures lab requisitions include diagnoses per protocol.
- Prepares and replenishes supplies; maintains inventories and informs the office practice coordinator when orders are needed.
- Greets patients, determines medical needs, and responds accordingly; prepares new patient charts and records basic statistical data.
- Records patient complaints and vital signs accurately; prepares and drapes patients for examinations and assists with examinations as requested by the physician.
- Dispenses or administers medications and injections as directed by the physician and under supervision; maintains records of medication stock and notifies when stock needs replenishing.
- Assists in collection of specimens and instructs patients on preparation for tests when necessary.
- Records and maintains laboratory, x-ray, and EKG data in patient records as needed; schedules patients for special procedures and coordinates referrals and necessary patient preparations.
- Triages calls for physicians; phones in prescriptions; communicates test results and messages to patients; counsels patients on health maintenance and related issues as directed by the physician (e.g., cholesterol, diet, medications, inhalers).
- Attends staff meetings; provides clerical support as needed and maintains patient care logs to ensure lab tests and procedures are completed; reschedules as indicated.
- Reviews daily cancellations/no-shows and reschedules patients as clinically indicated; may float to other practices as staffing needs dictate.
- Works under the direction of the Group Practice Manager or designate; maintains appointment schedules and coordinates with hospital/practice departments, nursing homes, and community services.
- Schedules patient tests and examinations at various sites; educates patients on special preparations; informs patients of schedules and necessary preparations.
- Maintains patient medical records; responds to information requests; handles incoming calls for professional staff and coordinates coverage for emergencies.
- Prepares correspondence for patients and physicians; maintains office supplies and stock; rotates through check-in/check-out; verifies demographic and insurance information and collects co-payments with accurate cash logs.
- Schedules specialty appointments, processes referrals, and handles insurance inquiries; opens and processes mail; assists physicians with information inquiries and medical record copies.
- Coordinates patient visits with off-site practices to ensure timely care; communicates with primary care physicians for urgent care scheduling.
- Depending on location and specialty, coordinates hospital admissions and surgical procedures; communicates with OR scheduling, Pre-admission Review, and Admitting all diagnosis and insurance information; informs patients of arrangements.
- Reviews encounter forms for accuracy; provides CPT and ICD-10 coding; enters charges in IDX system and verifies data; assists patients with billing questions; acts as liaison between billing service and patients.
Qualifications
- High school graduate. Minimum of one year's experience as a medical assistant in a medical practice environment desirable. Certification as a medical assistant desirable.
- Knowledge of medical terminology, word processing equipment, and personal computers.
- Two years of experience in a busy medical practice setting. Ability to perform multiple tasks simultaneously. Knowledge of pre-admission and pretesting requirements helpful.
- Working knowledge of insurance regulations and form completion. Ability to be trained in CPT and ICD-10 coding. Knowledge of billing system helpful.
- Must be certified or willing to be certified in CPR.
- Excellent communication and interpersonal skills. Ability to work independently and follow directions. Effective telephone manner and ability to communicate with patients, physicians, and other professional staff. Word processing skills required.
