Real Estate Business Development & Operations Manager
Position Overview:
We are seeking an experienced, detail-driven, and strategically minded professional to manage the full operational and business development functions of a high-volume luxury real estate agent. This is a behind-the-scenes leadership role—ensuring that every system, process, and detail is running so smoothly that the agent can remain fully client-focused. The ideal candidate thrives in building and maintaining streamlined operations, safeguarding and evolving both current and future pipelines, and flawlessly managing the execution of all active transactions. This person excels in a proactive yet adaptable environment, bringing expertise in systems, marketing, and operational efficiency to keep the business running at its highest level.
Working hours: Monday through Friday, 9 AM – 5 PM with occasional weekend support on an as-needed basis. Salary of $70,000 plus bonus based on annual transaction volume. Three weeks of paid vacation, with no more than 8 days taken consecutively unless otherwise approved. Office located in Beaver Creek Resort. In-office hours required with some remote hours after full training and systems development.
Key Responsibilities:
Business Development & Pipeline Management
Manage the agent’s schedule to ensure all contract and client priorities are met and that tasks are kept on track.
Oversee and protect the real estate pipeline, ensuring all leads, prospects, and clients are nurtured through the sales cycle and kept top of mind for the agent.
Manage and optimize database systems including ActivePipe, Follow Up Boss, Monday.com, and RealScout to maximize efficiency and opportunity tracking.
Develop and execute ongoing marketing initiatives (print and digital) to generate new business and increase property and agent visibility.
Implement strategic client engagement and follow-up systems to drive repeat and referral business touches.
Monitor market trends to identify new opportunities for growth.
Marketing & Brand Management
Create marketing materials for property listings, business development campaigns, and broker branding.
Build and maintain property websites and manage updates to the brand website.
Coordinate professional photography, videography, and other creative services for marketing purposes.
Active Transaction Management
Manage all aspects of transactions from contract to close using CTM eContracts, ensuring all dates, deadlines, and compliance requirements are met.
Serve as liaison between clients, co-op agents, title companies, lenders, inspectors, and service providers to ensure smooth closings.
Proactively track milestones, troubleshoot issues, and maintain transparent communication with all parties.
Operations & Coordination
Work closely with the broker’s accountant to facilitate accounting efforts and ensure all expenses are paid in a timely manner.
Maintain stock of broker materials (business cards, pamphlets, SWAG, closing materials).
Coordinate with brokerage staff to delegate and manage appropriate tasks as supported by the brand.
Prepare for showings, including scheduling, planning, and creating print and digital materials.
Ensure all operational systems run seamlessly, engaging outside technical support when necessary.
Qualifications
Experience in real estate operations, marketing, or transaction coordination preferred but not required. No real estate license needed.
Strong proficiency in business management platforms and CRM/database systems.
Excellent organizational, time management, and multitasking skills.
Exceptional written and verbal communication abilities.
Detail-oriented with a proactive, solutions-driven mindset.
Familiarity with luxury real estate marketing and transaction processes preferred.
