Executive Assistant
to support our President & CEO, Director of Operations, and Manager of Administration. This role is ideal for an individual who thrives in a fast-paced, client-centric environment and can manage multiple priorities while maintaining discretion and professionalism. Position Summary: As an Executive Assistant at Pac/West Strategies, this role will serve as the right hand to our leadership team. The successful candidate will provide critical support by managing the President & CEO’s day-to-day logistics, including calendar, travel, handling administrative tasks, and ensuring smooth office operations. The Executive Assistant will also support key initiatives that drive our firm’s mission forward, particularly in facilitating internal and client communication and ensuring all logistics are efficiently executed for both internal and external stakeholders. Key Responsibilities: Executive & Calendar Management President & CEO Support:
Manage and organize calendar, scheduling internal and external meetings, conference calls, and strategic events with high-profile clients, policymakers, and industry leaders. Travel Coordination:
Arrange complex domestic and occasional international travel, including flights, accommodations, transportation, and itineraries tailored to the President & CEO’s demanding schedule; arrange and coordinate domestic travel for Director of Operations and other staff as needed. In the event travel issues arise (as is to be expected with traveling these days), Executive Assistant is expected to be available and prepared to promptly assist and address issues as able. Meeting Preparation:
Assist with outreach to necessary parties to identify availability to schedule a meeting and identify meeting location; help prepare meeting agendas, presentations, and briefing materials, including assembling packets; confirm attendance ahead of meeting and report to President & CEO, Director of Operations and/or project lead; ensure meeting space (if hosting or in coordination with on-site staff if meeting is off-site) is prepared with food/beverages, IT services, appropriate table set-up and necessary materials; attend meetings and take detailed notes as needed, ensuring accurate tracking of action items and timely follow-up with necessary parties. Administrative & Operational Support Office Administration:
Assist the Director of Operations and Manager of Administration with day-to-day office management, including overseeing office supplies, managing subscriptions, coordinating and supporting vendor relationships, and ensuring a productive office environment. Expense & Reporting:
Prepare and process the President & CEO’s expense reports, monitor travel and event expenses, and assist with managing reimbursements for the team. Documentation & Filing:
Maintain organized records and documents—both digital and physical—for internal and external documents (i.e., client collateral) ensuring easy access for the leadership team and smooth document management systems. Client & Internal Communication Liaison Role:
Serve as a primary point of contact between the President & CEO, senior leadership, clients, government officials, and external stakeholders. Contact List Management:
Manage and organize contacts and contact lists for President & CEO, adding individuals from new meetings or events and updating as needed; manage and organize key client contact lists for Director of Operations. Draft Correspondence:
Prepare emails, memos, and other communications on behalf of executives, ensuring clarity, accuracy, and professionalism. Event & Meeting Coordination:
Help coordinate internal meetings, staff outings, client briefings, and firm-wide events such as webinars, policy roundtables, or client events. Qualifications: Experience:
5+ years as an Executive Assistant, Office Manager, or in a similar role, preferably in a public affairs, government relations, or consulting environment. Strong Organizational Skills:
Exceptional ability to manage multiple priorities, anticipate needs, and maintain a highly organized work environment. Attention to Detail:
A keen eye for detail and the ability to produce accurate, high-quality work under tight deadlines, and fast-changing priorities. Communication Proficiency:
Excellent written and verbal communication skills, with an ability to interact confidently with executives, clients, and key stakeholders. Technical Proficiency:
Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with expense management tools (e.g., Quickbooks, Expensify). Professionalism & Discretion:
High level of confidentiality, professionalism, and an ability to handle sensitive information with discretion. Educational Background:
