Overview
Conference Services Manager at Hotel Washington, a division of Schulte Hospitality Group. The role focuses on creating a spirited and thoughtful guest and team experience, building relationships with clients and the community, multitasking in a fast-paced environment, and delivering exceptional conference services. Responsibilities
Develop knowledge of Hotel Food & Beverage and Banquet Operations; demonstrate effective management, organizational, and guest relations skills. Prepare resumes for groups and review all details in weekly meetings. Adhere to the Catering and Conference Services Department’s standard operating procedures. Plan and execute events: promptly handle all steps in event planning and execution processes; coordinate with banquet managers and other departments; conduct pre-conference and planning meetings; site inspections; and post-event follow-up as needed. Establish rapport with clients; ensure client expectations are met with accurate preparation and visible presence during conferences. Communicate client requests to relevant departments; manage all banquet-related functions and ensure accurate banquet event orders (BEOs) and group resumes. Work with the banquet department on event execution; evaluate alternatives and decide on action plans as needed. Provide attentive guest relations, respond to guest problems and complaints, and upsell where opportunities exist. Coordinate all aspects of convention services, including but not limited to client turnover, room blocks, A/V, room type allocation, group transportation, and special requests. Identify and arrange food & beverage requirements, timing of events, amenities, seating, and related logistics; manage attrition follow-up, group hospitality/office/registration, business center requirements, and other event details. Ensure all departments have accurate information from BEOs and related documents. Education and Experience
Minimum of 1-2 years’ experience in conference services preferred; experience in a convention resort/hotel setting is a plus. Strong computer knowledge and aptitude for Microsoft Word, Excel, Outlook, and other management systems (Delphi, Opera, etc.). Knowledge, Skills and Abilities
Flexible work hours to meet client needs; ability to work occasional weekends and holidays. Excellent verbal, written, and non-verbal communication skills; refined interpersonal skills. Comprehensive knowledge of hotel Food & Beverage operations and general hotel department awareness. Effective management, leadership, and organizational abilities.
