Basic Function: Position is responsible for managing, coordinating, and ensuring the timely and efficient flow of raw materials, and finished goods through the supply chain. This role ensures efficient, cost-effective, and timely delivery of products by liaising with suppliers, freight companies, and internal departments. The Logistics Coordinator will track shipments, prepare documentation, resolve issues, and maintain compliance with relevant regulations. Reports to:
Operations Manager (Director of Operations or Quality Assurance) Primary Responsibilities and Duties may include but are not limited to: Coordinate, and execute logistics operations such as warehousing, inventory, transportation, and supply chain processes. Carefully and accurately maintains shipping records for requested categories including goods returned, dunnage, and returnable pallets.Schedule and track inbound and outbound shipments. Prepare shipments to customers and remote warehouse.Receive goods and verify the quality and count of all items loaded/unloaded from trucks and trailers.Optimize routing and delivery schedules to reduce costs and improve efficiency.Notifies supervisor of major discrepancies, over-shipments, or substitutions.Communicate with suppliers and carriers to ensure smooth delivery and resolve issues. Maintain custody of and answer receiving phone.Prepare and manage all shipping and receiving documentation, including bills of lading, packing lists, and customs forms. Ensure compliance with all relevant safety, environmental, and transportation regulations (e.g., DOT, OSHA, HAZMAT if applicable) and company policies and SOPs.Monitor inventory levels of raw materials and finished goods, and coordinate with procurement and production teams to avoid shortages or overstock.Maintain up-to-date records of shipment status and provide regular updates to stakeholders.Support returns, exchanges, and damage claims processes.Collaborate with other departments (e.g., sales, procurement, production) to forecast needs and resolve logistical issues.Support continuous improvement initiatives by identifying opportunities to reduce logistics costs, streamline operations, and improve delivery performance.Transports materials on shipping dock with a hand truck or other vehicle as needed.Operate a forklift to support load/unload freight and inventory and production needs.Performs other clerical duties as needed or directed by supervisor.Maintains an effective working relationship with others.Maintain the confidentiality of proprietary company information.Assist with clerical with other duties as assigned.Qualifications:Bachelors degree in supply chain management, logistics, business administration, or related field (preferred) and 2+ years of experience in logistics, supply chain, or related field. ORHigh school diploma or equivalent and 5+ years of experience in logistics, supply chain, or related field.Strong analytical, communication, and problem-solving skills. Solid understanding of manufacturing operations, production planning, and materials flow.Forklift certification preferred but not required.Strong knowledge of transportation, warehousing, and freight management.Prior experience in a warehouse environment required. Proficient in Microsoft Office Suite (Excel, Word, Outlook).Familiarity with shipping platforms and carrier portals (e.g., FedEx, UPS, DHL). Preferred Skills:Experience with Lean Manufacturing or Six Sigma principles.Knowledge of import/export regulations and Incoterms.Familiarity with hazardous material handling and transport (if applicable).Forklift or warehouse operations experience (a plus but not required). Physical Requirements:The ability to work 40 or more hours per week at Heliaes headquarters in Gilbert, Arizona.Must be able to work in a variety of weather conditions and temperatures; ability to work outside in 115F during summers in Arizona.The ability to operate a computer, telephone, and a copier.Sit for extended periods of time (2 hours at a time, 8 hours per day).Frequently (34%-66%) lift or carry up to 60 lbs.Frequently (34%-66%) perform fine manipulations with hands and fingers.
