About the Role

We are seeking a detail-oriented Construction Administrator to support our project management team on a large Hospital Project. The ideal candidate will bring prior experience in a construction environment and demonstrate strong organizational and administrative skills. This role requires familiarity with construction documentation, invoicing, lien releases, and day-to-day project support.


Key Responsibilities

  • Provide administrative support to project managers and field teams on the UCSF Parnassus Hospital Project.
  • Prepare, process, and track subcontractor invoices, purchase orders, and payment applications.
  • Manage and process lien releases in compliance with project and legal requirements.
  • Maintain project documentation, including contracts, change orders, submittals, and RFIs.
  • Assist with scheduling meetings, preparing agendas, and maintaining accurate meeting minutes.
  • Support project reporting, filing systems, and document control processes.
  • Interface with subcontractors, vendors, and clients as needed to ensure timely communication and accurate documentation.
  • Perform other general office and administrative duties as assigned.


Qualifications

  • Experience: Minimum 2–3 years in an administrative role within the construction industry.
  • Knowledge: Basic understanding of construction contracts, lien releases, and invoicing procedures.
  • Skills:
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with construction/project management software (Procore, CMiC, or similar) preferred.
  • Excellent written and verbal communication skills.
  • Education: Associate’s degree or equivalent experience preferred.
