This role is essential for maintaining an organized and productive office environment. The ideal candidate is a proactive and detail-oriented individual with strong communication and organizational skills.# **Key Responsibilities****Office Management*** Maintain a clean and organized office environment.* Manage office supplies and inventory, placing orders as needed.* Ensure office equipment (e.g., printers, copiers) is in good working order and arrange for maintenance or repairs.* Handle incoming and outgoing mail, packages, and deliveries.**Clerical and Administrative Support*** Perform administrative duties such as filing, typing, copying, scanning, and binding.* Prepare and format documents, reports, presentations, and correspondence.* Maintain and update filing systems, both digital and physical.* Assist with data entry and database management.**Communication and Coordination*** Answer and screen incoming phone calls, routing them to the appropriate person.* Greet visitors and provide general assistance.* Draft and distribute emails, memos, and other written communications.* Act as a point of contact for internal and external clients and vendors.**Scheduling and Calendar Management*** Manage and maintain calendars for managers or executives.* Schedule and coordinate meetings, appointments, and events.* Prepare agendas, take detailed meeting minutes, and distribute them to attendees.* Arrange travel accommodations, including flights, hotels, and car rentals.**Financial and Budgetary Tasks*** Process invoices, expense reports, and receipts.* Assist with basic bookkeeping and budget tracking.* Liaise with the finance department on administrative matters.# **Required Skills and Qualifications*** **Education:** A high school diploma or equivalent is typically required, with an associate's degree in a related field often preferred.* **Experience:** Proven experience as an administrative assistant, office assistant, or in a similar clerical role.* **Technical Skills** - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Workspace. - Strong typing and data entry skills - Familiarity with office equipment.**Soft Skills:*** Excellent written and verbal communication.* Strong organizational and time-management skills.* Ability to multitask and prioritize tasks effectively.* Attention to detail and a high level of accuracy.* Professionalism, discretion, and the ability to handle confidential information.* Problem-solving and adaptability.AESSEAL is an equal opportunity employer.
