Position Summary
We are seeking an organized, strategic and experienced Executive Assistant to provide administrative and clerical support to the executive team. The role serves as a liaison between the executives and internal/external stakeholders, managing executive calendars, coordinating meetings and overseeing travel and event planning, and handling other logistical and administrative needs. The right candidate will thrive in a fast-paced environment and proactively support the leadership team to achieve organizational goals. This role may support efforts related to clinic expansion and growth throughout the greater San Diego area and beyond.
This role is full-time with core hours Monday through Friday.
Key Responsibilities
- Executive Administrative Support: Provide comprehensive administrative and organizational support to the executive team (CEO, VP of Operations, VP of Growth); manage executive calendars; draft meeting agendas; take minutes; track action items for leadership, board and physician meetings; handle confidential information with discretion.
- Cross-Departmental Coordination: Back-up clinic coordination; assist Practice Managers with facility and operational needs including provider PTO coverage; coordinate communication across multiple locations; support collection and organization of clinic-level documentation (leases, vendor agreements, business licenses, medical licensure, etc.).
- Project & Growth Initiatives: Support strategic initiatives such as new clinic launches, acquisitions and expansion projects; organize timelines; maintain task trackers; compile market research and executive briefs for decision-making.
- Technology & Software Integration: Evaluate and recommend software tools; coordinate training and adoption to enhance workflows.
- Team & Culture Support: Support internal communications; help coordinate recognition programs and culture-building activities.
- Schedule & Travel Planning: Allocate time blocks for patient scheduling and internal meetings; plan executive and recruitment travel itineraries; organize leadership retreats, physician meetings, board meetings, and events; support community-facing events.
- Other duties as assigned.
Qualifications & Requirements
- Education: Associate degree required; Bachelor's degree preferred. Equivalent combination of education and related experience will be considered.
- Experience: Minimum of 2 years supporting C-suite executives; prior Executive Assistant experience to a CEO strongly preferred; experience in high-growth startups, healthcare, or clinical organizations is a plus.
- Skills & Abilities: Proficiency with office software (e.g., Microsoft Office); strong written and verbal communication; ability to manage confidential information; attention to detail, multitasking, prioritization; self-starter with problem-solving mindset; ability to thrive in a fast-paced healthcare environment; willingness to travel within the West Coast.
Compensation & Benefits
The annual salary range for this position is $65,000-80,000 per year. Actual compensation will be determined by a variety of factors including skills, education, and experience.
Physical Requirements
Ability to stand, walk, and move throughout the clinic; occasionally lift objects up to 25 lbs.; normal or corrected vision and hearing; ability to respond quickly in a fast-paced clinical environment.
