Acara Solutions is seeking a direct hire Legal Assistant/Secretary in Williamsville, NY!

Type: Direct Hire

Salary: Up to 55,000, DOE

Schedule: Full-time, 100% onsite

Roles and Responsibilities

  • Provide comprehensive administrative and legal support, including drafting legal correspondence, pleadings, summons/complaints, discovery, subpoenas, and preparing reports, presentations, and business materials.
  • Manage records and files by ordering and organizing medical records, maintaining physical and electronic filing systems, and recommending process improvements.
  • Coordinate calendars and scheduling, ensuring strict adherence to deadlines for depositions, court appearances, client conferences, and attorney meetings.
  • Assist attorneys directly through meeting preparation, note-taking, and supporting the firm's Continuing Legal Education program.
  • Handle client interactions by fielding calls, documenting concerns, problem-solving, and maintaining professional communication with prospects and clients.
  • Provide general office support, including screening correspondence, managing emails, and working collaboratively as a reliable and engaged team member.

Job Requirements

Required Skills / Qualifications:

  • Bachelor's degree or equivalent experience
  • Experience in managing multiple priorities, efficiently manages time and capacity
  • Proficient with Mac computers
  • Proficient in Microsoft Office, Adobe; willing to learn Canva

Preferred Skills / Qualifications:

  • Litigation, including personal injury experience preferred
  • E-filing experience via NYSCEF preferred
