Job Description

The Yosemite Community College District is seeking an Administrative Secretary to provide primary secretarial and administrative support to a Dean or other senior-level manager.

Responsibilities:

  • Serve as an administrative secretary and office management coordinator in support of a Dean, Director, or similar senior-level manager.
  • Coordinate and lead staff administrative and secretarial activities within the assigned division.
  • Organize, plan, and develop work accomplishment time lines.
  • Lead, coordinate, and perform difficult technical administrative work in support of a wide range of operations, programs, and/or projects within an assigned division.
  • Provide office reception and related support; answer phones; explain and interpret policies, regulations, and operational procedures to persons contacting the office.
  • Develop, prepare, recommend, and monitor budgets for projects, grants, and/or assigned functions.
  • Prepare quotes, bids, and purchase requisitions; receive and process invoices and forward for payment.
  • Establish and maintain complex file and record systems, including those for confidential and sensitive materials.
  • Independently respond to routine inquiries and correspondence; prepare information and data requested for administrative review.
  • Prepare technically complex reports, files, correspondence, and other documents.
  • Maintain calendars and schedule appointments, conferences, and meetings; prepare meeting agendas and information packets; attend meetings and take/prepare minutes.
  • Coordinate a variety of personnel management activities; prepare personnel-related forms.

Requirements:

  • Four years of equivalent experience to an Administrative Specialist at YCCD.
  • Or, possession of an associate’s degree from an accredited college with major course work in business administration or a closely related field, and two years of increasingly responsible administrative support experience.
  • Knowledge of modern office procedures, methods, and equipment, including computers and supporting computer applications.
  • Ability to perform a wide variety of responsible, administrative, and secretarial support duties for an administrator.
  • Ability to independently prepare correspondence and memoranda.
  • Ability to organize and schedule work to maximize efficiency.
  • Ability to maintain confidentiality of sensitive information and work performed.

Working Conditions:

Work is generally performed in a standard office environment.

Benefits:

The District currently pays for a health options for the employee and dependents. Employees may elect to pay a premium for a higher health option. Vision care and dental insurance premiums for the employee and dependents is District paid. Income protection and life insurance premiums for the employee are also District paid. The estimated cost of District provided benefits (health, dental, vision, and life) is $24,408 annually.

Salary Range:

Range 32, $4,817 to $6,148 per month (2024-2025 Classified Salary Schedule)
