Summary

The Human Resources Assistant contributes to the accomplishment of Human Resources practices and objectives that will provide an employee-oriented, high-performance culture and assists company managers with HR issues. This position is also responsible for assisting in benefits related matters, training and meeting coordination and provides administrative support to the Vice President of Human Resources.

Essential Duties & Responsibilities

  • Assist with general employee questions or concerns and assist with first line resolution of problems
  • Assist on benefit related activities such as benefit communication, the coordination of annual enrollment, setting up new enrollees on vendor websites, and other benefit duties as assigned
  • Assist in the maintenance of employee personnel files and the HR database and ensure accuracy of all data entry in the following areas: new hires, separations, compensation, leave of absences, salary or wage adjustments and process other financial compensation or deductions (e.g., annual bonuses, severance pay, taxes, worker’s compensation)
  • Prepare written communication and memos as requested and assist in the development of presentations and coordinates the department’s calendar and assists with scheduling
  • Assist with recruitment, hiring and on-boarding activities
  • Daily, morning review of all recruitment activities
  • Create, post and update positions on HRIS ATS + other
  • Active sourcing (LinkedIn, job boards, ATS)
  • Tracking applications, maintaining recruitment database
  • Assist with job fairs and hiring events, when needed
  • Phone screens
  • Schedule and coordinate interviews with candidates
  • Communicate with candidates and hiring managers
  • Support on-boarding process for new hires
  • Assist with new hire orientation, paperwork and on-boarding experience
  • Review, update and maintain all job descriptions
  • Build relationship with Indeed and LinkedIn reps
  • Data entry and reporting
  • Assist with conducting employee surveys

  • Other duties, as assigned

Education & Experience

  • A High School diploma or GED with 3+ years of experience in Human Resources or as an Executive Assistant
  • An associate degree is a plus, bachelor’s degree preferred
  • Knowledge of Human Resources processes
  • Strong attention to detail
  • Excellent organizational skills
  • Professional, polished communication skills – oral and written
  • Ability to prioritize and manage multiple projects
  • Demonstrated ability to use sound judgment and discretion in dealings with employees and clients
  • Experience with Microsoft applications such as Word, Excel, and PowerPoint
  • Experience with HRIS systems and implementation
  • Experience supporting a variety of functional client groups in a corporate environment
  • Experience working with a geographically dispersed workforce
  • Strong interpersonal skills, teambuilding skills and verbal and written communication skills

Physical Demands & Work Environment

While performing the responsibilities of the Human Resources Coordinator, you will be seated at a desk, using a phone and computer, the majority of your workday. Less than 5% of your job duties will require the ability to walk long distances, climb or balance, stoop, kneel, crouch and crawl. The noise level is usually low, as consistent with an office environment. At times, some light lifting may be required, up to 10 lbs. These job duties are performed indoors in a climate-controlled environment.
