This position plays a vital role in supporting the CCR programs, including Adult Basic Education (ABE), High School Equivalency (HSE), Adult High School (AHS), and English as a Second Language (ESL). This position ensures accurate data management, compliance with state and federal reporting requirements, and provides direct support ot students through admissions, assessment, orientation, and academic success initiatives. This includes, but is not limited to, building CCR courses, creating faculty contracts, and other Literary Education Information System (LEIS) data input as required. Duties as include creating and maintaining the course schedule for all CCR classes, as well as preparing all class files and data for ICR reporting and audit requirements

Essential Responsibilities Data Entry and Recordkeeping Enter and maintain student records in LEIS, ADVANSYS, Colleague, and other systems. Track student enrollment, attendance, course completion, and assessment results. Maintain accurate faculty assignment and payroll information related to CCR courses. Ensure proper documentation for audits and compliance purposes. Reporting and Compliance

Ensure accuracy of data for state audits, program evaluation, and funding metrics. Prepare reports for the Director of College and Career Readiness. Collaborate with the Registrar's Office to prepare the Institutional Completion Reporting (ICR) report and ensure data accuracy. Assist with audits and program evaluations by providing accurate data and documentation. Student Assessment and Support

Coordinate pre- and post-tests for student placement, progress tracking, and program reporting. May assist with administering the placement tests as needed. May assist the Director of College and Career Readiness with reviewing data to determine student pathway placement. Provide faculty with documentation on incoming student results. Maintain secure testing materials and ensure proper testing protocols are followed. Assist students with navigating admissions, course registration, and orientation. Track student progress and flag issues to support academic success. Faculty and Course Support

Build course sections in LEIS/ADVANSYS for reporting purposes and ensure accurate integration with the Colleague system. Create and maintain faculty contacts and course folders. Reconcile course and instructor data for payroll and reporting accuracy. Training and Technical Assistance

Train instructors and staff on LEIS data entry, system updates, and reporting procedures. Troubleshoot data discrepancies or system issues for staff and faculty. Adapt to new office technologies and processes as they are implemented, supporting both staff and students in learning tools. Other Duties

Organize, maintain, and monitor College and Career Readiness materials and office forms, including student handbooks, orientation packets, assessment manuals, course materials, and forms for registration, attendance, testing, and reporting-ensuring they are current, complete, and available in sufficient quantities. May be assigned teaching responsibilities as needed to support program or institutional needs. May require off-site travel to community centers to conduct pre- and post-tests. Perform other duties as assigned in support of the College's mission, core values, and goals. Qualifications & Degree Requirements Minimum Education, Experience, Skills, and Competencies:

Associate's degree from an accredited college in education, data management, business administration, or a related field. A minimum of 2 to 4 years of experience with data entry, recordkeeping, or office administration. Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint). Strong organization, attention to detail, follow-up, and communication skills. Ability to coordinate multiple tasks simultaneously while providing high-quality student support. Ability to work independently and collaboratively with careful attention to detail. Willingness to adapt to change and learn new office technologies as they arise. Preferred Education, Experience, Skills, and Competencies:

Bachelor's degree in education, data management, business administration, or a related field. Experience with higher education data systems, student record management, or program reporting. Experience with LEIS, ADVANSYS, Colleague, or similar student information/data entry system. Bilingual in English and Spanish is a plus. Physical Demands and Working Conditions :

Work is primarily performed in an office setting. Frequent sitting, standing, and walking within office areas. Occasional lifting or carrying of office supplies, instructional materials, testing materials, or student packets (typically up to 20 pounds). Regular use of computers, phones, and other office equipment. Visual and auditory ability to read documents, computer screens, and communicate effectively with students, staff, and faculty. Ability to perform repetitive hand/arm movements for data entry tasks. Occasional bending, reaching, or moving materials as needed.
