Clinic Operations Representative - PRN (as-needed) – Takoma DC. This PRN position is not eligible for benefits. Hours are 9:30am – 6:00pm. Reports to the Clinic Operations Supervisor or Clinic Operations/Practice Manager. Base pay range: $43,160.00/yr – $85,259.20/yr. The role provides patient services and administrative support in clinic operations and interacts with parents, patients, physicians and staff under moderate supervision. Location: District of Columbia – Washington; Work Location: Takoma Theatre; Job Function: Administrative Support / Customer Service; Organization: Ambulatory; Shift: Day. Responsibilities

Provide patient services and administrative support in clinic operations. Interact with parents, patients, physicians and staff in a courteous manner. Provide assistance to other department staff as needed. Collect and verify demographic information to ensure accuracy. Notify scheduled services according to managed care requirements; schedule patients for specialty appointments if needed. Possibility to float to other clinics or regional outpatient centers for coverage. Assist with entering data and completing documentation according to department policy. Support patient registration, scheduling, and billing workflows as described in the detailed responsibilities below. Functional Accountabilities

Patient Services

Demonstrate accuracy of scheduling patients using the applicable scheduling system. Complete computer-aided, online registration with parent/guardian in a professional & courteous manner. Collect accurate demographic and insurance information; update systems as needed. Reschedule no-shows or cancelled appointments; schedule follow-ups where applicable. Greet patients and parents; document patient information in the appropriate system. Obtain required consents and distribute compliance-related materials (e.g., HIPAA Privacy Notice, Patient Rights). Obtain copies of insurance cards and photo IDs; ensure documentation is filed in the medical record. Respond to patient portal work lists (appointments, faxes, emails); manage communications as applicable. Information Verification

Verify insurance eligibility and ensure adherence to managed care carve outs (lab, radiology). Notify parents of required insurance referrals or pre-authorizations prior to scheduled/unscheduled appointments. Discuss payments with parents (co-pays, deposits, balances) and refer to Financial Information Center as needed. Verify pre-authorization/referral information; aim to obtain authorizations in advance of service. Utilize multiple systems to verify that patient information is in sync. Cash Collection

Collect and record co-payments, deposits, and payments; provide receipts; contribute to meeting departmental collections targets. Maintain cash controls and collections procedures. Billing Preparation

Prepare schedules for upcoming clinic sessions; ensure accounts are ready for billing and needed authorizations are flagged. Link all walk-in and scheduled/unscheduled appointments to the scheduling system. Office Support

Answer calls and route inquiries to provide good customer service; manage voicemail promptly. Distribute mail and maintain office files and supplies; keep reception area clean. Check work email regularly and respond within 24 hours; support department communications. Provide other administrative support as needed. Safety and Organizational Accountability

Promote safety and communicate clearly and accurately; verify information for decision making. Work collaboratively with team members and demonstrate flexibility; contribute to process improvements. Manage resources efficiently and seek cost-effective methods where appropriate. Qualifications

Minimum Education:

High School Diploma or GED (Required). Minimum Work Experience:

1 year of experience performing billing, patient registration, scheduling, medical insurance verification, or insurance screening (Required). Required Skills/Knowledge:

Broad clinic knowledge, strong customer service skills; computer literacy; Microsoft Office experience (Word & Excel) preferred; complete Ambulatory Services training and pass competency assessments (including a mock clinic); typing speed of at least 35 words per minute. Additional Details
