Executive Assistant to CEO and Board Liaison

$80,000-$89,000/annual JOB SUMMARY Assists the CEO by handling a wide variety of administrative functions in the agency. Manages the CEO’s calendar, meetings, correspondence and budget. Drafts agendas, presentations and communications. Maintains confidential information. Provides regular support to the Executive Team. This position also serves as a liaison to the Board of Directors and remains up to date with board compliance and general matters. ESSENTIAL FUNCTIONS Executive Support: Provide direct administrative support to the CEO including coordination and scheduling of meetings, drafting agendas, taking minutes at meetings, initiating routine correspondence for signature, and maintaining files both digitally and in hardcopy. Handle necessary financial tasks such as expense reporting, processing check requisitions and obtaining appropriate signatures as requested by Accounts Payable. Collect and compile required reports and documents for annual audits and other accreditations. Coordinate with division directors to plan monthly meetings. Lead on coordination and implementation of agency-wide events of varying scale. Provide support to assigned departments and special functions such as the Board of Directors and Executive Team. Other duties as assigned. Provide direct administrative support to the Board of Directors, Executive Committee, Governance Committee, and HR Subcommittee, including coordination and scheduling of meetings, and preparation of meeting minutes and materials. Facilitate annual processes regarding committee charters, committee membership, nominations, director orientation, conflict of interest certifications, annual Board survey and Board Directory. Maintain SharePoint sites, external Board portal and administrative materials used by Catholic Charities staff and Board members. Serve as custodian of all Board records and adhere to record retention policies. Maintain positive working relationships with members and ensure compliance with applicable rules and regulations per the organization’s Bylaws regarding Board matters. Other duties as assigned. QUALIFICATIONS/TECHNICAL EXPERTISE Bachelor's degree preferred with 5 years of experience in an appropriate professional area or as an administrative assistant to senior management. Professional experience working with the Board of Directors and understanding of compliance and bylaws. Demonstrated experience with meeting facilitation is strongly desired. Ability to represent Catholic Charities professionally to critical partners. Ability to work without close supervision and demonstrate initiative. Commitment to working with people of diverse cultural backgrounds and alignment with Catholic Charities’ mission. Robust written and oral communication skills. Strong organizational skills with the ability to manage multiple tasks with high attention to detail while handling confidential information. Desire and willingness to help where needed and demonstrate flexibility in day-to-day work. Familiarity with basic technology and accurate typing; capable of conducting virtual meetings. Knowledge of Windows and Microsoft Office Suite is required. Ability to work with diverse and/or low-income populations, including those experiencing homelessness, unstable housing, or mental illness. PHYSICAL REQUIREMENTS Lifting up to 25 lbs. without assistance.
