The Trademark Docketing Paralegal processes high-volume trademark correspondence from the USPTO, clients, and international offices while maintaining accurate case dockets and deadline management systems. This role serves as the primary contact for escalated docketing issues, leads quality control initiatives, and trains team members to ensure compliance with firm standards. The Trademark Docketing Paralegal partners with trademark attorneys on law changes and deadline calculations, conducts database audits, and drives improvements to enhance the speed and accuracy of docketing processes while developing and enforcing departmental protocols.

Responsibilities

Review and process a large volume of e-mail, mailings, correspondence and pleadings related to trademark matters from the United States Patent and Trademark Office, clients, foreign counsel and other foreign trademark/patent offices.

Maintain trademark attorney case dockets using web-based system. Keep detailed records of all entries to address questions about deadlines and procedures.

Serve as the primary contact for escalated docketing issue resolution and inquiries.

Thoroughly review correspondence, documents, and written docketing requests to ensure all deadlines are identified and docketed. Include quality review of other team members' work and provide feedback to ensure accuracy. Guide team members to learn and apply changing information.

Train and coach team members to ensure accuracy in docketing entries and compliance with team standards.

Develop training materials and standard operating procedures.

Provide expertise and guidance on complex trademark docketing issues. Research applicable country laws.

Partner with the trademark team regarding law changes and local rules specific to governing calculation of docketing deadlines to ensure that all dates docketed are accurate.

From a technical strategic perspective, work to improve the quality and efficiency of the docketing process, ensuring that firm standards and controls are robust and lead to an increase in speed and accuracy of services delivered by the department.

Partner with the trademark team to conduct regular audits of trademark databases and docketing systems.

Develop, maintain and help enforce Docketing Team protocols.

Assist the Docketing Manager with other duties as needed, including advanced reporting, complex docketing procedures, and assigning work to other team members.

Perform additional duties and tasks assigned, demonstrating flexibility and a commitment to supporting the firm’s overall objectives.

Communicate effectively: verbal, written, and non-verbal.

Deliver strong client experience and collaborate with internal teams to elevate the firm’s service quality.

Demonstrate job knowledge and technical skill with a focus on high-quality work; work well within a team and cross-functionally to meet results.

Job Qualifications (Education, Experience and Certification)

Minimum five (5) years of trademark-specific docketing experience and trademark paralegal experience required.

Paralegal Certificate or degree required.

Excellent interpersonal, oral and written communication skills.

Extensive knowledge of the US and foreign trademark prosecution process and understanding of relevant documents is strongly preferred.

Experience/ability to interface with USPTO, WIPO, and other websites regarding trademark matters.

Proven aptitude to learn new software applications.

Excellent proofreading skills and ability to prepare accurate, highly detailed work.

Ability to provide clear and concise training on docketing processes and procedures.

Exceptional organizational skills and attention to detail.

Ability to work effectively with personnel at all levels of seniority within the firm.

Strong analytical and problem-solving abilities; strong written and verbal communication skills.

Professional integrity with ability to maintain confidentiality and build trust with case teams.

Strong critical thinking skills to process complex orders and assess effects on deadlines.

Compensation and Benefits Holland & Hart offers compensation and a comprehensive benefits package. The Colorado salary range for this position is $35.58 to $59.30 per hour. The Washington DC salary range for this position is $39.14 to $65.23 per hour. A discretionary bonus may be available based upon performance. The application window is anticipated to close on or after Friday, September 26, 2025. The firm provides a benefits offering including medical, dental, vision, life, AD&D, EAP, STD, LTD, voluntary protections, 401(k) with match, and other programs, with possible pro-rating for part-time staff.
