The Senior Inventory Specialist for Fire/EMS is a vital part of our life-saving mission, ensuring crews have the right tools and supplies exactly when they need them. This role oversees inventory management, procurement, and distribution of critical equipment, while streamlining processes, maintaining compliance, and building strong vendor partnerships. With sharp organizational skills and a proactive mindset, the Senior Inventory Specialist keeps operations running seamlessly-directly supporting our Fire/EMS teams as they protect and serve the community every day. Acts as a lead worker prioritizing, assigning and reviewing the work of assigned staff and providing guidance, direction and training. Generates and completes work orders: schedules repair and maintenance activities; and submits work orders to appropriate personnel. Procures a variety of equipment, materials, and supplies in compliance with County purchasing policies and regulations. Receives requests for equipment, materials, and supplies: researches and determines appropriate procurement method; develops and/or verifies specifications; reviews prepared requests for bid/proposal; and evaluates vendor responses. Places orders with vendors for routine and complex procurements: generates purchase requisitions; and processes payments. Researches vendors, current catalogues, and online sources to determine the most competitive pricing for parts and equipment. Reconciles accounts, gathers and reviews procurement card purchase receipts; reconciles monthly totals; assigns transactions to the appropriate account; contacts vendors regarding discrepancies and errors; and submits documentation to Finance. Maintains accurate records of procurement activities and inventory; reviews all invoices for accuracy; investigates and resolves any discrepancies; and retains or purges records according to records retention rules and guidelines. Prepares a variety of reports related to work activities: enters data into databases and software systems; runs and verifies accuracy of reports; and submits reports to appropriate personnel. Performs the duties of other department personnel as needed. Provides exceptional customer assistance, problem-solving, and/or complaint resolution by all forms of communication. Min. Education and Experience: An equivalent combination of relevant training, education and experience:

High school diploma or equivalent. Two (2) years of experience in the receipt, storage, control, and issuance of materials, parts, and related stock items. Licenses and/or Certificates:

Must maintain a valid driver's license. Knowledge, Skills and Abilities

Knowledge of departmental policies, plans, and procedures. Knowledge of modern office practices, plans, and procedures. Knowledge of Microsoft Word, Excel, PowerPoint, and other job-related computer programs and software applications. Knowledge of inventory methods, procedures, and records used in maintaining control over property and equipment. Knowledge of office practices, procedures, and use of equipment. Knowledge of standard office computer equipment and software applications; ability to maintain accurate records and reports. Skill in effective communication, both orally and in writing. Skill in prioritizing and organizing work. Skill in the use of office equipment such as a computer, multi-line telephone system, scanner, fax machine, and copier. Ability to perform multiple tasks with accuracy and attention to detail. Ability to ascertain priorities and meet deadlines and objectives. Ability to make arithmetic computations accurately and rapidly. Ability to make recommendations and to use resourcefulness and tact in solving new problems. Ability to prepare effective correspondence on routine matters and to perform routine office management details without referral to supervisor. Ability to follow written and oral instructions. Ability to operate a motor vehicle. Ability to provide internal/external guidance and customer assistance via all forms of communication. Ability to use computers for data entry, word processing, and/or accounting purposes. Ability to author reports, business correspondence, and procedure manuals. Ability to establish and maintain effective working relationships with managers, service providers, other employees, and the general public.

PHYSICAL DEMANDS Stooping, sitting, crouching, walking, pulling, lifting, hearing, seeing up close, seeing far away, kneeling, reaching, pushing, talking, standing, finger movement, repetitive motions, depth perception. Frequent lifting of up to 25 pounds; occasional lifting of up to 50 pounds.

WORK ENVIRONMENT Work requires some exposure to environmental changes (e.g., outdoor weather and/or field conditions, warehouses, covered loading docks, garages, etc.) or irate customers, extreme noise, odors, heights and/or dust.
