Job Summary: Zachry Engineering Corporation (ZEC) is looking for a highly skilled Document Management Systems Specialist. This role involves overseeing document management systems and providing strategic guidance to ensure project setup and execution align with company standards. Responsibilities: • Oversee document management systems activities across all document management systems used by ZEC and our clients. (e.g., Aconex, SharePoint, ACC, etc.). • Serve as the subject matter expert for Aconex, managing system configuration, workflow design, user access, continuous improvement, and metadata structures. • Lead the implementation and training of document control systems and procedures across engineering functions. • Develop, revise, and maintain standardized business processes and training materials to ensure consistency across Greenfield and Brownfield projects. • Ensure quality control of document metadata, content, and cross-referencing to maintain data integrity and compliance. • Work directly with key document control personnel across other departments and business units to ensure alignment and support throughout the entire project lifecycle, from initiation through closeout. • Coordinate with Project Support Specialists and engineering discipline leads to ensure adherence to document control standards, including tagging, numbering, and turnover deliverables. • Oversee the As-Built documentation process, ensuring collection, retention, and completeness of construction records and fabrication documentation. • Aid with the integration of Aconex with other project tools to enable real-time reporting, analytics, and project insights. • Support internal and external audits by ensuring documentation is complete, accurate, and traceable. • Identify and implement process improvements to enhance efficiency, data integrity, and system usability. • Ensure that project teams are complying with both ZEC and client standards, including requirements for tagging, document numbering, and the final turnover deliverables. • Assist with coordinating the handover of documents at the project closeout. Qualifications: Required: • Bachelor’s degree with previous document management experience. • Minimum of 10 years of experience in project document control management in the engineering industry. • Technical proficiency with Aconex and a background in facilitating system training materials. • Experience transitioning an organization through the deployment of Aconex. • Experience developing and maintaining document management processes and procedures. • Familiarity with Autodesk Construction Cloud (ACC). • Experience managing compliance with document management system. • Excellent communication and presentation skills. • Ability to lead project meetings and facilitate presentations. • 15 years of total experience with at least 10 in a technical role and 5 in a leadership/managerial role.
