JOB SUMMARY:

The Intake Specialist I is responsible for coordinating all incoming referrals from a variety of sources, including physician offices, hospital discharge planners, case managers, and clinics. This role ensures that all referral documentation is complete, accurate, and aligned with the company's scope of service.

Key responsibilities include entering patient demographics into internal systems, verifying insurance coverage, securing valid physician orders, and communicating the company's ability to provide services to the referral source. The Intake Specialist I also collaborates closely with internal teams to facilitate delivery scheduling, communicates with patients and families regarding coverage and out-of-pocket responsibilities, and ensures a smooth start of care.

As a key liaison between referral sources, patients, payers, and internal departments, the Intake Specialist I plays a critical role in optimizing workflow efficiency, maintaining compliance, and delivering a positive patient experience.

QUALIFICATIONS:

Associate's degree from an accredited institution required; relevant coursework or healthcare-related certifications preferred. 1-2 years of experience in healthcare intake coordination, home infusion, home health, or a related clinical setting preferred. Working knowledge of Medicare, Medicaid, and commercial insurance guidelines, including prior authorization and billing protocols. Proficient in interpreting insurance coverage, payer-specific benefit plans, and regulatory requirements related to reimbursement. Familiarity with medical terminology, diagnosis codes (ICD), insurance verification, billing, and collection practices in a healthcare setting. Experience using standard office equipment and software, including Microsoft Word, Excel, Outlook, and EMR or referral management systems (e.g., NewLeaf). Demonstrated ability to multi-task and maintain accuracy in a fast-paced, deadline-driven environment. Strong planning and organizational skills with the ability to meet productivity and quality benchmarks. Excellent verbal and written communication skills, with attention to professional tone, grammatical accuracy, and clarity. Proven interpersonal skills and the ability to work effectively both independently and collaboratively within a team. Capable of identifying routine issues and initiating appropriate resolution steps; knows when to escalate more complex matters to supervisory staff. Willingness to serve as a knowledge resource to peers and support onboarding/training by sharing best practices and payer-specific expertise. Strong customer service orientation with a commitment to delivering high-quality service to patients, providers, and referral sources. ESSENTIAL DUTIES AND RESPONSIBILITIES:

Accurately and efficiently process all patient referrals by thoroughly verifying and entering complete information into the company's software systems in a timely manner. Obtain, review, and validate all required physician orders and Standard Medical Necessity (SMN) documentation to ensure compliance with payer and regulatory requirements prior to initiation of therapy. Maintain strict adherence to legal, ethical, and HIPAA guidelines to safeguard confidential patient and proprietary information, ensuring full regulatory compliance at all times. Serve as a primary point of professional communication for patients, referral sources, and internal departments, delivering clear, courteous, and solution-oriented interactions. Verify insurance coverage and eligibility, including Medicare, Medicaid, and commercial payers; communicate patient financial responsibilities such as deductibles and co-pays promptly and transparently. Secure pre-payment authorizations by obtaining timely credit card confirmations for designated patients prior to shipment of therapy supplies. Coordinate and execute the processing of referrals and new orders in accordance with contractual agreements and payer guidelines, including obtaining necessary authorizations and re-authorizations to prevent care delays. Ensure accurate and prompt distribution of referral information to all relevant departments to facilitate seamless patient care delivery. Employ effective time management and prioritization skills to balance daily workload demands while consistently meeting patient care deadlines. Proactively communicate with referral sources and internal teams to address and resolve cases where referrals cannot be accepted; collaborate to identify and propose alternative solutions. Maintain consistent and timely follow-up with clinics, patients, nursing teams, and pharmacies to coordinate and monitor infusion service delivery, ensuring patient access and satisfaction. Actively participate in ongoing education and compliance training to stay current with evolving regulatory requirements, company policies, and industry best practices. Deliver exceptional customer service to patients, providers, and third-party payors by fostering positive professional relationships and promoting effective information exchange. Identify, evaluate, and integrate new technologies, tools, or system enhancements to optimize referral intake workflows and improve overall operational efficiency. Utilize multiple software platforms simultaneously to accurately track, update, and manage referral data, insurance verifications, and order statuses, maintaining high data integrity standards. Perform additional duties as assigned to support departmental objectives and continuous improvement initiatives.
